Ensures successful delivery of administrative executive duties in a highly demanding and fast-paced organization. Organize documentations in the Department through an effective archiving system.
Highlights:
 Handle a filing system of the DMD’s documents such as e-mails, meeting notes, memos, letters, articles, reports, corporate and project files.
 Proper retrieval of required documents and emails.
 Prepare and draft correspondences and email to Head of Departments, Clients, and Staff.
 Prepare materials such as Organizational Charts, PowerPoint Presentations, reports and spreadsheets to Clients and Managing Director.
 Track and maintain a log of incoming and outgoing correspondence and coordinate the flow of paperwork around the office.
 Ensure correct and immediate distribution of documents.
 Review incoming documents and ensure proper action is taken by the DMD’s department.
 Assist DMD and Head of Departments in processing HR forms, Reimbursement Forms and invoices as needed.
 Provide support to the Office Manager in her day to day activities i.e. Internal Memo Approvals.
 Prepare and ensure timely submission of the daily & monthly timesheet and other required HR forms.
 Liaise with Head of Departments, Executives, Staff and Clients through phone call and email on behalf of the DMD.
 Organize the DMD on meeting requirements.
 Perform extensive internet research.
 Assist newly hired executive staff within the DMD’s Department, with start-up IT, supplies and space requirements.
 Assist in the recruitment process for necessary job positions, i.e. collate CVs, arrange interviews, and monitor status of applications.
 Purchase stationery and office supplies and maintain equipment for the Department.
 Perform other administrative duties like book meeting rooms, scanning, photocopying, coordinating with the print shop/IT, and binding books.

 Provide support in the use of Microsoft Office 2007/2010 programs and other office tools, as necessary.
 Process expense claim/reimbursements, and leave requests. Coordinates with different department to gather required technical information.
 Process Company’s e-registration to different organizations on Qatar.
 Prepare and edit Monthly Business Development Report and other documentation to be forwarded to the department VP.
 Record minutes of the meeting as requested.

 Manage filing of departmental documents including proper handling of confidential documents, arranges and coordinates traveling arrangements and business appointments.
 Prepare agenda, notices, minutes, presentation slides for management meetings.
 Perform other office administrative functions as required by the Manager.
 Prepare Power Point presentations in preparation for site meeting and conferences.
 Ensure the daily operation of the office including contact to the Contractor for office supplies.
