Accountability: Responsible to provide assistance and support to sales and sales operations through extensive coordination with customers, suppliers and within the organisation.
Responsibilities:
1. Sales coordination: Responsible to receive and handle incoming sales enquiries from potential and current customers and forward them to the appropriate sales persons and in their absence to provide preliminary details about the products and services. Ensure interdepartmental coordination for timely availability of sales materials like, brochures, displays, etc. To maintain and update the list of customers and their relevant details like address, telephone no’s, email ids etc, if assigned. Responsible to provide extensive support to the sales team by tracking any of the applicable end to end activity related to quotation, purchase order, sales order, work in progress, procurement, warehouse, service, logistics and finance to ensure quality service and timely completion of customer orders.
2. Quotation/Tender: Responsible to understand the exact customer requirement, through sales enquiry forms and Sales personnel with regards to specification, quantity and terms and conditions of payment and prepare quotation/tender/proposal from the approved price list and present to Sales Manager for verification and approval. Responsible to enter the quotation in Oracle system.
3. Payment Collection: Responsible for tracking and subsequent follow ups of payment collection from customers, if assigned and update Managers accordingly.
4. Invoice: To prepare and submit invoice to corporate customers through the assigned Sales person/Driver.
5. Procurement: Responsible to coordinate with the approved supplier for the timely procurement of the product and services, as per the Managers approval, if assigned. Coordinate and track for supplier payment, if assigned.
6. Administrative: Responsible to provide extensive support to Sales team to draft memo, inter-office/general correspondence, letters to suppliers, customers, etc. To ensure sufficient supplies of office stationeries, letter heads, business card, etc. Coordinate with Facilities Admin Dept. for monthly attendance, passport release (collection & submission), air ticket, leave application, document submission for visa/labor renewal and timely distribution of renewed visa copy, labor card, insurance and Emirates ID, and any other employee request, if assigned. To request for computer, laptop, blackberry and any other IT facilities, if assigned.
7. HSE/Quality Coordination: Coordinate for the implementation of ISO and other Quality/HSE standard requirements, if assigned.
8. Record: To maintain and file invoices, quotation/tender and LPO/Email on daily basis.
9. Continuous Improvement: Responsible to take care of continuous improvement at a functional and cross-functional level for process, and sub-process improvement.
