- Prepare papers/documentation for the manager, ensuring they are ready for meetings and discussions.
- Observe and apply strict levels of confidentiality, decorum and discretion to all matters related to the performance of role.
- Make travel arrangements in a time-effective way, including arranging complex itineraries/venues, ensuring most effective use of executive level manager’s time.
• Receives and classifies all incoming correspondences and refers them to Superior according to their order of priority.
• Maintains systematic recording and filing of all incoming and outgoing documents for easy retrieval and monitors pending/due submittals.
• Prepares correspondence, project documents, submittals for distribution to concerned personnel.
• Prepares document transmittals and comment sheets for submission to the Client and/or Contractor.
• Prepares electronic time sheets and daily time record of personnel.
• Attending on enquiries from Site Offices by answering phone calls and providing necessary information and/or documents via fax machines or by e-mailing.
• Performs other duties assigned by the Resident Engineer.
- Preparation of daily invoices and quotations of medical items.
- Attended to the needs and queries of walk-in and regular customers.
- Conduct searches to find needed information, using such sources as the Internet.
- Receives and places incoming/outgoing phone calls before referring to superior; transmit and receives fax messages and maintain a file for reference.
