1- Responsible for the Contracts circulation system from the filling of the request form until being signed by the VP’s and supplier’s.
2- The Contracts department interface with all the company’s other departments.
3- Responsible for the contracts renewals.
4- Responsible for the Contracts Archiving custody.
5- Responsible for the Contracts and Contracts Lawyers monthly reports.
6- Responsible for giving awareness sessions to all the company employees regarding the Contracts process and policy.
• The Contracts department interface with all the company’s other departments. \n• Responsible for the Contracts Archiving custody. \n• Responsible for the Contracts and Contracts Lawyers monthly reports. \n• Responsible for giving awareness sessions to all the company employees regarding the Contracts process and policy. \n• Provide contractual assistance & acts as a resource to provide information or determine the most effective way of meeting the needs of management and internal clients. Ensure all required aspects of the contract circulation are completed according to the contact process. \n• Oversee accuracy of contract tracking system; monitor and improve as needed. \n• Enter the Contract data into a computer system, scans and retrieves the data entered as required. \n• Respond to, investigate and resolve contractual inquiries and complaints and recommend preventive and corrective action(s). \n• Update the E-Contracts tracking system on a daily basis, ensure proper reminders are sent to ensure proper release of the contracts drafts in a timely manner as per the contract process SLA & secure information by completing backups. \n• Responsible for the Contracts custody/vault in terms of filing and carry out the necessary indexing.
• Responsible for the recruiting and hiring process.
• Managing the admin and archiving team.
• Preparing the office monthly salaries.
• Responsible for the office budget.
• Setting process and policies.
• Responsible for the office training plans.
• Handling the CEO's meeting agenda, telephone calls, travel arrangements and financial issues.
• Provide direct assistance to the Sr. Director & management by maintaining calendar and record keeping systems, develop and maintain data base.
• Attend meetings and take meeting minutes.
• Responsible for the Sr. Director travelling arrangements (flight & hotel reservations) and expenses.
• Key liaison between the Admin team and other internal departments - Business units, Finance, Credit & Collection, Regulatory, Human Resources, Marketing...etc.
• Manage the life contracts, early reservations/registration, agency fees, no show/cancellation policies, budgets, payments, etc.
• Prepare travel invoices, memos and invitation letters.
• Support in recruiting activities, including scheduling appointments and interviews.
• Prepare the setup for the new hires prior to their joining date.
• Negotiate contracts and manage relationships with external vendors.
• Co-ordinate and maintain staff administrative records.
• Manage both electronic and paper filling.
• Monitor and maintain office supplies inventory.
• Handle complaints and address any unexpected problems as they arise from various stakeholders and take action accordingly.
• Responsible for the new hires orientation & all their Administration related matters.
• Serve as a back-up for the team especially during peak times and back-up support for Managers
