Duties & Responsibilities: • Responsible for the overall maintenance of the company HR system, OPTIMUM (E-ERP system), ensuring new hires are inputted into systems, questions are clarified and removal of records upon termination of employees.
• Lead assigned projects from the HR Manager and ensure timely completion.
• Manage the payroll system and staff benefits in line with the Company policies and procedures ensuring payment of salaries and allowances in a timely manner.
• Provide smooth implementation of end-to-end employee lifecycle HR processes including new hire integration, relocations, leaves and exits, vacations and time off in order to provide a fully comprehensive and efficient HR service to employees.
• Preparation of staff letters advising promotions, increments, change of title, transfer, etc.
• Preparation of Offer Letters and Employment Contracts including renewal
• Preparation of leaving employees' final settlements, service certificate, etc; ensuring termination requirements are completed as per the checklist; conduct exit interviews for non-managerial employees who resign from the company.
• Maintain and update staff data base & monitor and update manpower movement within the company
• Conduct induction and orientation programme for new joiners below assistant manager level
• Prepare per diem allowance and arrange hotel accommodation for staff proceeding on duty travel or training overseas
• Download monthly attendance report and circulate to department managers
• Ensuring job description is provided to new joiners in coordination with the department heads
• Provide advice to staff on HC matters
• Follow up with Management and line managers to submit the annual performance management reviews
• Prepare memo for payments e.g. annual health club memberships, training invoices, reimbursement to staff
• Work with relevant managers to identify & resolve any HR related issues. Ensure employee relations issues are resolved in accordance with the company's discipline and grievance procedure.
