• Review and provide feedback on Customer Contracts, NDA, MOU, Back-to-back Contract and other company and commercial contracts.
• Draft Contracts (NDA, MOU, Teaming Agreement, Sub-contract, etc.) according to requirements.
• Respond to queries related to contracts and support the Sales Team in organizing the contract documents during the review process.
• Maintain a database of company contracts which includes organizing, scanning and uploading of contracts and other documents in the Public Folder, and filing of hardcopies of said documents.
• Follow up pending contracts with the concerned people, i.e. reviewed contracts, contracts for counter-signature and Letter of Award/Letter of Intent that requires contract, etc.
• Counter-check information in the contract against the supporting documents in Logistics Order Form (LOF) and prepare Contract Information Sheet (CIS) containing important details of the contract. Then, obtain the signature from Account Manager, ITSD Team Leader and Sr. Manager of Procurement, Logistics and Contracts.
• Affix initial on the contract document prior to signature of Sr. Manager - Procurements, Logistics and Contract, and follow up with Procurement Dept. and Account Manager for logging of order in the system.
• Review and make necessary improvements to Company Standard Contracts from time-to-time.
• Prepare Quarterly and Yearly Report of signed, pending contracts including order value and Purchase Orders issued to Suppliers.
• Prepare Quarterly and Yearly Report of document, spares and other delivery activities by Logistics Team.
• Communicate with customers for new application and renewal of registration of the company as Supplier/Vendor, which includes gathering and compilation of required documents for submission to customer.
• Communicate with customers for the required insurance certificate as part of the contract.
• Coordinate with Finance/HR Department for the issuance of insurance policy certificate as required in the contract signed with customers.
• Review and formulate Company Policies, Procedures and Processes related to Contracts and Procurement and make improvements as necessary.
• Prepare business correspondence and perform other administrative tasks as may be assigned by the Sr. Manager of Procurements, Logistics and Contracts.
