1. 1. Establishing the new companies’ from Zero (i.e. Shareholder and W.L.L. companies) and issuing all necessary and requirement certificates and license to start the company activities according to governmental requirements and facilitate the work requirements.
2. Developing the workflow plans and make sure it was implemented for work interest.
3. Study the company marketing based on market demands and competitors.
4. Follow up the customers and stand their requirements.
5. Arrange the collection plan to collect the due amounts.
6. Preparation the store budget and follow up the implementation with financial department.
7. Implement ISO Safety, Hygiene and security processors for the store.
8. Cash expenses control in line according to company policy and budget estimate.
9. Develop and Implement the Safety management system requirements.
10. Develop and implement the company organization structure.
11. Evaluate the quotations / price offer to be compatible with the company's policies.
12. Arrange the company contracts with legal department. (Commercial Rental contracts, leases warehouses and subcontractor Rental...etc.).
13. Follow up the company shipments import and export with customs clearance office.
14. Preparing contract with clients or the companies and duly documented.
15. Control and manage the all maintenance contract for the trucks, warehouse, cars, electricity, and standup the installation equipment in the warehouse.
16. Control the warehouse store (loading, unloading, returned, distractions, actual quantity) by the documents system and computer programs.
17. Arrange the necessary plans for trucks based on work requirements by coordination with sales department to make sure the products will delivery to the customers according to the agreed deadlines.
18. Implement and developing the store structure which computable with company policy.
19. Follow up the entire interior rules of the Personnel & Administration sector.
1. Arrange the General Assembly meeting by coordinate with Legal Dept., Accountant and Stock of exchange.
2. Arrange all the correspondences of the General Assembly meeting with the Members.
3. Prepare the Minutes of meeting to the General Assembly.
4. Prepare the Board of Directors minutes of meeting and Executive Committee, along with the setting-up the agenda, and documenting the minutes of meeting.
5. Preparation all the correspondences for BOD members by date of meeting.
6. Coordinate with the legal consultant in respective to the portfolio of the shareholders and the correspondences with the stock market.
7. Full knowledge of the inclusion of public shareholding companies on the Kuwait Stock Exchange.
8. Arrange all the correspondences with Kuwait stock of exchange for the following topics, as well as follow-up and completion of the work required:-
- Date of BOD Meetings.
- Date of General Assembly meeting (Ordinary and extraordinary).
- Changes in the shares and value of shares according the regulations set forth by KSE.
- Any replacing in the members of BOD.
- Increase capital; modify the memorandum of association, by extraordinary G.A meeting parallel with letters to ministry of commerce and industry & KSE.
- Other procedures related BOD, G.A. & KSE.
- Perform all secretarial duties, pluese all of Executive Secretary job skills (with full confidential).
- Coordinate & follow up with other departmental managers.
- Working with all MS-Office applications.
- Doing the Travel Arrangement, Hotel Reservation & rent Car.
- Booking Air tickets & Hotel Hale for conference.
- Handle all incoming, outgoing correspondences and internal Mail by e-mail through outlook worksheet or faxes & External letter.
- Sort and distribute the daily mail.
- Prepare presentations by PowerPoint for any management meetings.
- Attending the Board of Director (B.O.D.) & General Assembly (G.A.) meeting five times in a year, with full responsibility for the following:
1- Take notes during the meeting.
2- Prepare Agenda for the B.O.D. & G.A. Meeting.
3- Prepare the draft resolutions for the B.O.D & G.A.
meeting.
4- Prepare Letters for Minister's and Board Members.
