• Manage the Quaker General Manager & Marketing Senior Directors for MEA region and their direct report’s (total headcount of 11) travel logistics including, but not limited to the following:
-All flight and on-ground transportation arrangements
-Sourcing accommodations and finalizing all booking arrangements
-Arranging all visit visas as required, both for managers as well as guests traveling into Dubai, and keeping up-to-date on all requirements for frequently visited countries

• Carry out daily calendar alignment for all executive level associates and ensuring that all scheduled meetings are properly aligned with those involved
• Minute taking for executive meetings as and when required
• Arranging personal requirements for all executive level associates upon request
• Coordinate regional events hosted in Dubai within the team and manage all logistics including, but not limited to:
-Venue hire
-Branding and media organization
-Catering
-International and local attendee management
-Entertainment

• Arranging all on-boarding logistics for new hires within the marketing team and Quaker business unit
• Maintaining documentation and filing all medical expenses in a timely manner to the medical insurance underwriters for all team members
• Submitting all POs and Invoices relating to both travel & expenses, as well as general & administrative expenses for all team members
• Execution and filing of all supplier and agency contracts in marketing and within the Quaker business unit
• Compilation and tracking of all budgets within the team and reporting to executive associates
• KPI and retail audit tracking for brands in the GCC and Levant Market
• Creation of monthly market innovation report and presentation to Marketing VP/CMO & Senior Directors
• Creation of Powerpoint presentations produced for senior management upward to AMEA Sector CEO
• Track and Maintain Quaker financial volumes & financial details relating to product in the GCC and Levant markets
• Creation of monthly scorecards with financial and volume distribution details to present to Quaker GM and his direct reports
• Manage all documentation for Quaker including but not limited to:
-Receiving and creating Purchase Orders
-Receiving and creating Proforma Invoices
-Receiving and creating Commercial Invoices & Packing Lists
-All other required documentation for customs release as noted by distributor’s market

•Aligning with shipping agents to organize vessels and all shipping logistics for orders to all markets, covering AMEA region
•Knowledge of all documentation requirements for export of product into its respective market
•Maintain current knowledge of import & export requirements in GCC and Levant, as well as some Asia-Pac export regulations
•Maintaining a relationship and assisting with all inquiries and concerns for both product suppliers, as well as distributors and customers
• Assisting in sourcing local road-freight agents for upcoming projects and product expansion

-Correspond with clients and their daily requests, which include, but are not limited to: changing information on switchboard to accommodate their current company details, forwarding mail and parcel, etc.
-Configure new client's phone and fax lines into the company telecommunication database upon receipt of checklist from administrator in a timely fashion.
-Uphold comprehensive knowledge of additional services available to clients, as well as encompassing the ability to organize said services upon client's request.
-Correspond with clients to ensure that they are receiving a quality experience and that
services are being provided adequately from the company and its personnel.
