1.Periodically audit all files for inclusions and missing documents.
2.Control project documentation as per company’s procedures.
3.Set up distribution requirements, including timeframe.
4.Register the receipt of documents from both internal and external sources.
5.Transmit documents to internal and external parties for review and information.
6.Transmit the comments on documents back to originators.
7.Coordinate the Document Control cycle from start to finish.
8.Communicate requirements of the procedure to all project personnel to ensure compliance.
9.Ensure that all issued Project Deliverables are correct in accordance with document control procedures.
10.Maintain Project Deliverables filing & retention system for hard copy and electronic originals of all documentation.
11.Assist other Projects and Department with queries on documentation requirements and submissions.
12.Loading of non-critical Project documentation onto relevant archiving systems.
13.Hand-over of Critical - Maintained documentation to the Engineering Document Controller.
14.Closing out existing projects.
15.Archive project at end of shelf life.
16.Ensure that controlled copies of latest approved documents and drawings are distributed to the appropriate staff, subcontractors and suppliers as applicable.
17.Maintain updated records of all approved documents and drawings and their distribution clearly marked in a Document/ Drawing register as per the Company procedure.
18.Maintain the documents and drawings in the Document Control office under safe custody without any damage or deterioration with easy tractability.
19.Maintain document processing and document retention systems of the project. 20.Retain and able to retrieve all correspondence, reports, drawings, sketches, instructions, and minutes of meetings, submittals, requests-for-information, and all project documents.

• Coordinate all activities related to the Document Control procedure, including technical documents, drawings, and commercial correspondence. • Input document data into the standard registers ensuring that the information is accurate and up to date. • Generate the various document control reports as required. • Typing of site documents, and follow up of all the site needs • Makes sure that controlled copies of latest approved documents and drawings are given to the appropriate staff, subcontractors and suppliers as applicable • Maintain updated records of all approved documents and drawings and their distribution clearly • Maintain the documents and drawings in the Document Control office under safe custody without any damage or deterioration with easy traceability. • Maintain the files and control logs as required by the project.
