• Support the smooth and efficient operation of the company logistic and supply chain processes
• Develops documentation and operating procedures for receiving, handling, storing and transportation.
• Ensure systems and structures are in place to monitor the flow of equipment, tools and materials and integrates, coordinates and aligns with the company operational and acquisition systems and processes.
• Liaise with vendors on shipping to negotiate, determine, optimise and manage the routing and method of transportation selected on the criteria of price, operational requirements, travel time and availability.
• Liaise and develop good working relationships with Qatari Chamber of Commerce, port and customs officials to ensure the quick processing of all attested documentation required to clear and release imported goods.
• Plan, direct, and coordinates appropriate in country storage and distribution operations and negotiates with carriers, warehouse operators, and insurance company representatives for services and preferential rates.
• Support the development of the company quality management strategy with appropriate systems and processes in accordance to the requirements of ISO 9001 and API Spec Q1accreditation
• Contribute to the team ethic and perform other reasonable duties as required in support of the business and will be required to work off site in support of business activities.

• Arranges transportation for deliveries inside and outside of Doha
• Purchases services from Third-Party transporters
• Creates the Purchase Orders for Third-Party companies
• Ensures that all resources have been exhausted before considering hiring from Third-Party companies

• Efficient in solving problems for both local and international shipments or transportation
• Creates a list of pending shipments and their expected time of arrival

Functions and Responsibilities:

o Receives import shipping documents from account owner or from other airlines/shipping lines or consolidators in case of picked-up or brought papers
o Check completeness of shipping documents receiver for entry preparation
o Ensures that shipping details are logged into logbook for monitoring purposes
o Ensures correct type of customs entry forms are assigned to each particular shipment type and encode serial number to our electronic forms monitor system for entry usage monitoring purposes.
o Ensures correctness of duty and tax computation for each shipment based on the correct tariff headings, shipment value as declared on the shipping documents provided for, duty rates and other applicable rates such as excise tax rates and the like by checking previous shipments of the same or similar item and/or duty/tax declaration.
o Ensures that all shipping documents are encoded in the system for cash advance and billing purposes.
o Ensures that concerned account owners are notified immediately any additional documentary requirements or for any discrepancy in the documents.
o Ensures that all accomplished entries are endorsed on time to the correct releasing section and that proper receipt by releasing section shall be secured.
o Ensure that all pending documents are closely monitored and reported to concerned account owners and followed-up until secured.
o Ensures that proper recording and encoding is observed to avoid preparations and accomplishment of double entries.
o Ensures that e-mail communications for shipping alerts and it’s attachment, shipment inquiries and documentation issues are properly attended to.
o Ensures availability of supply of customs forms. Ensures that forms will not ran out of stock and are always available when needed.
o Prepares and liquidates cash advances used in the proper discharge of function as approved by superiors within the timeframes set by established company guidelines.
o Ensures observance to compliance on all existing SOP’s established related to the section function.
o Perform other task that may be assigned by the superior from time to time to the official function of the section.
