Perform office administrative and operational activities for the Executive Management’s Office, including liaising with other Department, suppliers and contractors, etc. and contribute to enhanced operational efficiency through liaison with stakeholders following best practice models Serve as a point of contact for information requests concerning the activities of the Executive Management’s Office to ensure proper responses are provided to all internal and external inquiries as per established guidelines Provide meetings scheduling and facilitation to the Executive Management’s Office in liaison with the concerned parties to ensure meetings are properly planned and to avoid conflicting and overlapping schedules Prepare written communications such as reports, memos, letters, financial statements and other documents, using word processing, spread-sheet, database, or presentation software to ensure smooth flow of information within the Executive Management’s Office and with external parties Manage information processing, filing, archiving and retrieval to ensure accuracy, completeness, timeliness, integrity and confidentiality Assist the Head of Planning and Follow Up in the development and implementation of office policies and procedures to ensure value and standardization within the Office Coordinate the execution of any special projects or events carried out by the Executive Management’s Office when requested. Other reasonable tasks as assigned by the Executive Management’s Office Comply with QR health, safety, and environment policies, procedures, legal regulations and objectives applicable to areas of responsibility to ensure that work is performed in a safe, healthy and environmentally-sound manner.
