•Internal coordination: liaising with the different data base officers and ensure smooth communication and data flow is ongoing.

•Development and Implementation of database tools and necessary processes: Participate in the development and improvements of the database tools according to each project needs, provide recommendations to ensure that the tools are user-friendly and as relevant as possible and ensure that processes related to the exchange of database and the organization of data entry are structured and well implemented.

•Perform regular back-up of the databases to ensure security and knowledge management.

•Reporting and data analysis: extract data and analyze it for internal or external use (project teams, donors and authorities) upon request from the MEAL manager and according to HI indicators (process, output, outcome, impact) and carry-out monthly data analysis on HI activities (fact sheet) and report it monthly on humanitarian response web-based existing platforms (Activity Info) and using the Power BI program.

•Provision of Capacity building: Support key users (project team and external partners) in the implementation of the processes (data collection and extraction) related to the database tools including provision of the needed action plan and follow up regularly, identify training needs on database tools and processes among the MEAL team and project team at coordiantion and field level), provide referral officer and key field database users with the necessary training and support for an efficient use of the database tools (data entry / data analysis) and roduce training materials for in-house courses.

•Develop user-friendy guidelines and/or SOP regarding information management whenever relevant.

•Data quality monitoring: Perform routine checks on the beneficiary databases to ensure highest quality data and monitor performance Data combining: in charge of weekly data combination and provision of the statistics needed as per request, quality encoding of data is ensured from assessment, follow-up and discharge forms and any other form as required, data inaccuracies on all database fields are checked and fixed if any and oaching, orienting and validating the work of database assitants and referral officer when relevant.

•Research new technologies and methodologies in workplace learning and present this research.

•Have an understanding of e-learning techniques, and when relevant, be involved in the creation and/or delivery of e-learning packages

•Team management: ensure the supervision of the data entry assistants, lead the recruitment of new team members or volunteers according to HI procedures and ensure the latter receive appropriate orientation and induction, coordinate the assignment of tasks and responsibilities of staff and volunteers and perform appraisals of supervisees and ensure all members are evaluated according to HI procedures.

•Ensure proper use and develop team skills on KoboToolbox, CTO software in collaboration with the MEAL Manager.

•Support the MEAL team for an efficient use of KoboToolbox.

•Archiving: Act as the mission main focal point for the archiving of the discharged beneficiaries’ files and tracking the info within the archiving matrix.

Database/Intake Officer at Handicap International

- Compile all data entry from the assessment forms to follow up forms until discharge certificate in one data base and ensure the quality of the data entered.

•Participate in the field teams’ training about the data collection on the field.

•Data entry for all the collected information from the M&E team, combine it and extract outcomes.
•Ensure archiving of all the files and the security of data as well as making them available on request.
