In-charge of preparing and completing required monthly/quarterly/half-yearly and yearly reports prior to submission to Client (electronic and physical documents)
Direct follow-up via email and telephonic to Suppliers/Regional Engineers/Facility Engineers/Supervisor and in-charge personnel for required reports/documents.
Ensure completion of reports for timely submission to PHCC.
Review technical project-related documents such as technical reports/ incident reports/ snag list/CVs/ letters/ MOM/ Memos before transmitting to PHCC
Copy, scan and file/store all transmitted documents/reports to PHCC along with receiving transmittal.
Check accurately and edit files/documents/reports before getting signed by in-charge FM Engineer and Project Engineer prior to submission to Client - (PHCC)
Distribute project-related copies to internal Engineering teams/department.
In-charge of maintaining transparent, up-to-date, and easily traceable documents.
File documents in physical and electronic records neatly and accurately
Create templates as required for all kind of reporting.
Retrieve files as requested by employees, clients, and contractors.
Prepare/distribute/monitor timely completion of monthly SSP and PPM/CM
Prepare email and letter correspondences as required
Manage the flow of documentation within the organization.
Maintain confidentiality around sensitive information and terms and agreement.
Handle all Accounts (Manpower Request/Demand) of all Companies including Housemaid processing for different nationalities from Manpower pooling / Recruitment Campaign / Interview up to mobilization of workers.
Preparing Job orders and other documents needed to be processed in Embassies and Qatar government offices prior to hiring new workers
Conducting initial interview and evaluation of CVs prior to submission to respective Companies
In-charge of posting job vacancies if needed such as for Qatar local hire
Timely and daily updating status of all applicants for various Companies and reporting it to the management and to each Company respectively.
Closely monitoring and completing projects/demand/manpower supply and recruitments on time
Attending to all inquiry prior to Hiring new workers from different Countries via telephonic or emails.
Effectively coordinating to all affiliated Agencies in Nepal, Pakistan, India, Philippines, Bangladesh and all Agents prior to new Manpower Requirement/Demands that needs to be completed and attend to all concerns, request, inquiry and other related concerns with regards to up-coming, on-going and completed Manpower supply/demand.
Responsible for documenting and filling documents

Report on daily basis the updates, processing progress and important information in relation to processing to both Agency Management and Clients.
Monitor Mobilized workers and assist repatriated workers
Organizes documents; prepares and codes data for entry into computer system.
Attend Agency cases filled by workers who were repatriated in different offices such as NLRC, SENA & POEA
Check and screen all documents submitted by the workers as to their authenticity and appropriateness.
Responsible for performing quality control checks, identifying job problems and ensuring that job orders are completed according to schedule.
Conduct orientation for workers after selection
Explain and instruct selected workers the requirements and proper procedure of their application abroad.
Process documents of selected workers on given time frame until mobilization with accuracy.
Preparing all documents for visa applications after workers will be medically fit to work.
Transact official business with Royal Embassies of different Countries such as Qatar Embassy, Saudi Embassy, Russia Embassy, Korea Embassy and Uzbekistan Embassy
Prepare, check and review documents of workers for submission in different Embassies for visa stamping.
Closely coordinate to Liaison Officers with regards to POEA documents such as OEC and different Clients accreditation.
Request, prepare air tickets as per the scheduled mobilization.
Conduct pre-departure orientation for workers who has scheduled of departure.
Assist and attend to repatriated workers most especially workers who filled complains against the Agency
Perform such other duties as may be assigned from time to time.

Receptionist
Attend and entertain applicants and visitors with hospitality.
Receive, screen calls and transfer calls to the concern personnel.
Welcome and serves visitors by greeting, welcoming, and directing them appropriately.

Make and produce all accessories needed to be used as reference such as flyers/leaflets.
Handles data, sorting, filing, updating, counterchecking, encoding and editing which includes most specifically Worker’s data and information.
Contributes to team effort by accomplishing related results as needed.
Recruitment officer
Sourcing, screening, selecting and calling applicants as per job requirements needed and based on job qualifications and preferred experience.
Attending Job Fairs, Labor Forum and other Company’s Recruitment Activities
Conduct preliminary and final interview for all prospective applicants before including them on Recruitment Line-ups.
Conduct phone interview to prospect applicants as well.
Thoroughly screen applicants for final endorsement to the Processing in-charge and Recruitment head.
Maintain records such as resume and submitted documents of workers such as passport and certificates.
Maintain an effective and orderly filling system.
Prepare listing of new Job Orders/Recruitment Requirements
Closely coordinate to Recruitment Head with regards to new job orders
Daily report to Recruitment Head for line-up status and CV sending status
Line-up applicants for both CV sending to Clients and scheduled Recruitment campaign on urgent basis.
Assist applicants and Clients during Recruitment Campaign or Interviews.
Conduct recruitment field such as head hunting, distribution of flyers if needed.
Monitor Manpower requirements and manpower lacking.
Perform such other duties as may be assigned from time to time.
IT Assistant
Responsible for installing additional devices into computer units such as printer, camera, scanner etc.
Troubleshooting of computers and printers as needed.
Re-format computers if needed.
Responsible for the configurations of Domain server’s policy and security, LAN connections, switch and modem problems.
Configuring the domain for better sharing.
Responsible for canvasing for the market prices of the spare parts needed for the computers that needed to be upgraded and assemble with the approval of the Management.
Install different applications and tools as needed.
