Responsible for being the first point of contact for both landlord and tenants to ensure smooth flow. Managing 2 properties - 258 units under Emirates REIT's.
Duties:
- Preparing contract (New Lease and Renewal)
- Scan and upload onto the system (HRE and Landlord's system)
- Sending renewal notices - 120 Days advanced.
- Negotiating renewals
- Email reports to E-REIT
- Coordinating with Tenants on daily bases via phone calls.
- Chasing pending works from FM team such as handyman, reinstatement, PPM etc.
- Doing inspections on cheques payments, transfers, etc.
- Prepare documents for payment and document runs.
- Follow up on tenants (Renewals, pending payment, bounced cheques)
- Receive daily complains (FM works, pending issues, Building related) and inquiries (Leasing, availability, prices)
- Receive and prepared invoices for inspection and uploading (Emicool, DEWA, IFA, HRE quotes, Etc)
- Prepare Ejari for tenants.
- Prepare NOC for connection and disconnection of units.
- Reviewing old files for the required reports for the landlord.
- Prepare security deposit refunds. (Attach all requirements, and inspect the apartment after FM team inspection)
- Assist in Move in and Move out (Including disconnections)
- Assist manager in day to day operation.
- Prepared weekly, monthly, Quarterly, end of year budget report.
- Chasing bounced cheques, complete receivables report and update.
- Assisting in legal cases
- Negotiate with real estate agents (prices, and deals)
- Do early termination, unit transfers, break of lease etc
- Create / prepare report as per REIT’s request
- Back tracking old cases to assist REIT’s and manager (2015 - 2019)
- Follow up on landlord regarding urgent issues (CCTV, Legal cases, Pending works, etc)
- Memorizing all situation of each tenant accordingly.
- Do pro-rata calculation for extending units.
- Chasing payments from vendors, tenant and the landlord.
-Coordinating with HR manager, Administrator, Reception and other members of the office
-Assisting HR manager in recruitment by contacting and shortlisting candidates.
