Provide administrative support to Senior Vice- President & Senior Manager Projects.
Provide appropriate update information to SVP & SPM for the status of the project.
Read and analyze incoming letters, memos, submissions and reports in order to determine their significance and plan their distribution.
Manage circulation of documents for both incoming and outgoing correspondence including emails and faxes.
File and retrieve corporate documents, record and reports; arranging meeting calendar, presentations / workshops and business travel.
Greet visitors and determine whether they should be given access to specific individuals.
In-charge in the preparation of correspondences and or business letters.
Compile, transcribe and distributes minutes of meetings.
Manages the office responsibilities professionally, efficiently and the document control system in accordance with ISO 9001-2000.
Experienced at site based Document Controller whom reporting directly to Resident Engineer / Asst. Resident Engineer and provides appropriate information, technical support assistance to the Project Manager such as the preparation of correspondences, reporting the status of all incoming and outgoing technical submittals, documents/drawings and arrangement of meetings.
Controls the incoming and outgoing correspondences via by hand, fax and e-mail.
Implement standard procedures for receiving, dispatching, distributing & filing of documents being handled in the section.
Keeping updated track of all documents/drawings register with latest approved version and distribute to all concerns, (Technical Submittals, RFI, Shop Drawings, Site Instructions, Non- Conformances Report, Inspection Requests, Correspondences, Contract Agreements, Order Confirmations, & Payment Certificates) and submitting to the Management Office and as when required.
Creates a convenient system of filing / storing and data maintenance in such a manner that information should be available for all concerned persons at anytime and which is of easier access to co-workers. Organizes and prepares the weekly and monthly progress report of the project.
Manage the circulation of documents, monitor and coordinate with the discipline engineers in regards to the responses of technical submittals, issuance of drawings for construction.
Devising and maintaining office systems to deal efficiently with paper flow, organizing and storing paperwork, documents, and computer-based information.
Arranging travel and accommodation and occasionally, travelling with the manager to take notes of dictation at meetings, or to provide general assistance during presentations.
Provided wide range of administrative and clerical duties for various levels.
