Recruitment
• Manage recruiting for directly employed staff and conduct application management.
• Implement innovative and resourceful means to source candidates directly as far as possible, thus ensuring better control over costs and quality.
• Aim towards a minimum lead time in recruiting process, starting from the identification of a vacancy to on boarding of employee.
• Liaise with industry specialized crewing agencies for the provision of non-officer positions.
• Arranging interview with Marine and Technical superintendents.

Training and development
• Monitor crew performance through Performance Management System, in order to plan career progression career for all seagoing staff.
• Monitor and update entire UASC vessels for Rest Hours records keeping using ISF online watchkeeper.
• Assist Fleet Personnel and Training Manager in preparing the training budget, identifying job specific and individual training demand for Fleet Management and inform HR/Training of requirements.
• Execute the emergency preparedness training and further onshore / on-board skills training as needed / required and planned by the Fleet Personnel and Training Manager.
• Oversee the execution of training, assess results and report to the Fleet Personnel and Training Manager .
Crew planning and management
• Continuously plan for crew on vessel level for at least three crew changes (actual + next two), taking into account personnel’s age, medical fitness level, visa status, where required.
• Follow up on communication plans with UASAC agencies that occur during crew changes and forward all required documents (flag state application, flag state endorsement, CRA, etc.) and joining instructions.
• Ensure AMOS is updated frequently with crew members’ personal data, review required documents ensuring they are up to date and valid, and ensure the dates of when a crew member has boarded and disembarked the vessel are accurately recorded.
• Manage the search for flight schedules for crew to arrive at loading port at optimal time (i.e. avoid overnight stay) at the lowest airfare option for seagoing personnel.
• Take necessary actions in any urgent crew related matters (i.e. sickness, family related matters, disciplinary issues) .
Sign-on / sign-off
• Manage the visa application process and ensure all required health certificates and seamen ID cards (i.e. UAE ID cards required for crew to join UAE flagged vessels), if applicable, are obtained for all seagoing personnel.
• Ensure matching flag state endorsements for joining personnel are obtained by managing the entire process from start to finish - from the application stage to the delivery of the FSE certificates to the vessels.
• Oversee the travel arrangements for seagoing employees, planning and scheduling in alignment with travel agencies

Accounting and AMOS Payroll functions

• Maintaining and monitoring sea staff salary, leave salary, travel expenses, overtime, other recoveries, etc.
• Modification, correction of entries as per the portage bills as and when required.
• Running Payroll whenever a seafarer sign off or prior to the end of every month, ensuring calculations are done properly and opening and closing balances are carried forward.
• Entry of variable transactions approved from the office eg. Joining / Leaving expenses, immigration charges, Course expenses, etc.
• Updating bank details for officers and crew in the system
• Registration of new employees in AMOS and creating contract/ salary for them.
• Preparation of Portage bill reports for entire vessel each month.
• Closing the period of Accounts for individual vessels every month after monitoring each and every individual entry is done properly and closing the Payroll period in the central data base for every month.
