• Reports directly to the Operation & Commercial Manager and the Marketing Manager.
• In-charge of all documentations in the Operation & Marketing Department.
• Coordinates directly with suppliers, clients and subcontractors regarding media scheduling: Exhibitions (Informa, Projex, Tamra C2 for Cityscape, Next Move), Newspaper Advertising (Al Khaleej, Al Bayan, Emarat Al Youm), Outdoor Advertising (Al Shuala Media, Hills Adv.Majid Al Futtaim) Online Advertising (Mubasher, Tamra C2).
• Prepares LPOs, memorandums, client notice, proposals and letters.
• Scheduling meetings, travel ticket and hotel reservations.
• Accepting & directing phone calls.
• Bookkeeping.
• Monitoring emails (Microsoft Outlook).
• Social media management.

• Reports directly to the Managing Partner & Operations Manager.
• First point of contact of company executives.
• Assists and coordinates with the Office Administrator in recruitment and HR procedures, invoicing and client payment follow up.

• Alternately assigned as frontdesk officer in the absence of the Receptionist and Purchasing officer.
• In-charge of all documentation, data entry and filing works at the projects department.
• Prepares business letters, contracts/subcontract agreements, LPO’s, quotations, invoices, emails (normal emails & Aconex transmissions) enquiries, minutes of meetings, memorandums and notices as per Manager’s instructions.
• Schedules and coordinates meetings, travel bookings, hotel reservations and appointments.
• Composes documents and works in MS Excel, MS PowerPoint (Presentation), Adobe Photoshop, Data entry, set up and maintenance of MS Word files.
• Receives company calls, personal calls as well, furnishes courier services, faxes, mail posts and routing them to their proper recipients.
• Checks on E-mails for and from the company and keeps them for records.
• Obtains the information of incoming and / or outgoing calls & messages, and managed them in appropriate manner; (time, caller ID - name & number, purpose of call).
• Provides information about the establishment such as scope of works, personnel and projects done.
• Supports the office by using automated equipment such as facsimile machines, personal / networked computers and printers, copy equipment, voice messaging and electronic mail systems, and telephone equipment.
