Duties and Responsibilities:
• Undertake the tasks of receiving calls, taking messages, routing correspondences and handle requests and queries appropriately.
• Greet guests through phone and/ or personal and direct them to the Planning Director when necessary.
• Prepare, read and analyze incoming memos and reports to determine their significance and plan their distribution.
• Arrange meetings, appointments, provide reminders and make travel arrangements for the Planning Director.
• Prepare meeting agendas prior and record minutes of meetings.
• Monitor, maintain and ensure proper usage of all Planning Department’s office supplies and facilities.
• Produce reports, presentations and develop an efficient hard or soft filing and documentation scheme.
• Maintain all confidential information and perform all administrative tasks to respond to all planning staff inquiries, leave applications, joining or exit formalities and prioritize all activities accordingly.
• Prepare and submit daily and monthly timesheets of department staff to the HR on the given cut-off dates for payroll process.
• Complete the assigned work at a given time without any delay and report to the Director with completion of given work by end of the day.
Duties and Responsibilities:
• Cooperate with clients to determine their needs and advise them appropriate information, aiming to meet their expectations.
• Supervise daily work operations mainly in travel division.
• Deal with occurring travel problems, complaints or refunds.
• Communicating with other sales consultants and provide help and required recommendations.
• Endorse changes and improvements to management to enhance productivity.
• Liaise with airlines and other suppliers or partners when necessary.
Duties and Responsibilities:
• Handle customer inquiries for flights, visas and other travel requirements.
• File Travel and Tour records.
• Coordinate with Airline companies for other necessary flight options.
• Cancel or amend reservations at customer’s request and ensure details are correct and communicated before processing.
• Manage checking of visa validities and follow-up clients for any required extensions or renewals.
• Apply and file visa forms and records.
• Handle basic communications and some of the basic clerical tasks that need to be performed in an office setting.
