HR Assistant Responsibilities:
• Arrange advertising and posting for job vacancies
• Process and review employment applications to evaluate the qualification of the applicants
• Doing phone interviewing with possible candidates
• Sending offer letters for candidates and preparing their contracts
• Answer questions regarding examination, salaries, benefits and other relevant questions
• In contact with the financial department for preparing indemnities, salaries, allowances and loans
• Process, verify, and maintain personnel related documentation, including staffing, recruitment, performance evaluation and employees leave of absence
• Record data for each employee, including address, monthly earning, absence, attendance, supervisory performance report, dates for joining date and termination or resignation with reasons
• Using Biotime attendance system to create profile and remove teachers
• Request information from legal department to determine applicants’ employment acceptability
• Responsible for the school maids attendance
HR Maintenance Responsibilities:
• Identify areas for improvement and assign workers to take care of issues
• Develop maintenance schedules and enforce them among maintenance staff
• Respond to emergency calls for maintenance
• Manage the set up and take down of different events
• Perform administrative tasks as required
• Ensure all operations are carried on in an appropriate and cost-effective way
• Identifying staffing requirements and order them
• Dealing and negotiating with companies
• Liaise closely with the Ministry of Private Education and to correctly file and date any documents received from there.
• Organize the time of interviews and entrance tests for new students entering the school.
• Ensure that class lists are ready for the start of each term and are kept up to date throughout the year.
• Communicate student registration statistics on a daily basis once registration has opened for the following year.
• The completion of statistical returns and any other forms, which the Ministry of Education may require in addition to update the online ministry school records.
• prepare weekly, monthly yearly comparison requested by Admin supervisor.
• In the case of a pupil being withdrawn from a class or being transferred to another school, for the completion of all Arabic paperwork which will be required by the Ministry.
• prepare all the requested document for graduation students.
HR Responsibilities:
• Providing advising on Kuwait employment law
• Maintaining employee records ( attendance, time outs)
• Recording employee leaves -sick leaves
• Verifying timekeeping records and consult employees
• Establishing joining letter for new teachers
• Establishing clearance for employees
• Answering and inducting employees
Registrar Responsibilities:
• Enrolling and re-enrolling students by using Sybase system
• Cancellation and transferring files on Sybase system and Ministry of Education
• Responsible for IG transcripts
• Being in contact with the Heads of each levels to set a plan for entrance exam
• Having an access to Ministry of Education registration
