• Administering personnel activities such as monitoring employee’s attendance, processing of leave & business travel applications, loans requests, Indemnity, etc.
• Prepare and process payroll on time to ensure timely payment of salaries and benefits to all employees.
• Keep track on daily activities related to employees’ leave, attendance, overtime, etc. for necessary salary adjustments while ensuring compliance with KCS HR policy.
• Assist Finance department by providing relevant employee information (e.g. leaves Balance & Indemnity).
• Prepare End of Service Benefits for Employees leaving.
• Coordinating government relations activities with Representative.
• Respond quickly to employee’s enquiries related to workplace environment, HR policies, salary, benefits, code of conduct etc.
• Preparing Memos for Public Holidays.
• Implement and coordinate administrative task with departments.
• Contact with external partners, like insurance vendors.
• Create effective channels of communication between employees and management.
• Preparing Salary Certificate for employees and Experience Letters for ex-employees.
• Updating and maintain confidential files and documents.
• Maintaining effective relationships with employee and management.
• Receive employee’s problems & complaints and meet with the concerned parties to collect more information regarding the issue/problem and exert all efforts to solve the problems.
• Administer and execute activities related to employees leave, business travel (tickets/Hotels booking, travel allowance), loan requests, employees transfer.
• Maintain and update an efficient database of all employee’s information, which include employee’s personal information, documents, qualifications & certifications, leave & attendance history, training received, performance review, increments, etc.
• Handling & monitoring recruitment, Employment & termination procedures.
• Coordinate with different department and follow up on performance management.
• Coordinate with Zain Company, Cars rental companies.
• Control the company stationary shop.
• Managed payroll through HR System (MenaItech).
• Assist with annual employee benefit enrollment and assist employees with benefit and policy questions.
• Partner with internal/external team to coordinate the maintenance/troubleshooting of the HRMS and timekeeping system.
• To guide and manage the overall provision of Human Resources services, policies, and an excellent experience in MenaITech System which consists three internal Modules: Mena Pay (Payroll), Mena HR (Human Resources Management System), and Mena Me (Employee & Manager Self Services.
• Preparation the monthly payroll system and ensure data integrity and confidentially.
• Prepare End of Service Benefits for Employees leaving in coordination with HR Manager.
• Overseeing all HR & Administrative duties for KCS and sister concern companies.
• Uploading all employee information on MenaItech System.
• Preparing deduction of salary letter and termination letters for employees.
• Informing Accounts Department about new recruits before payroll can be done.
• Maintaining Annual leave and preparing leave calculations for advance salary.
• Assist in conducting performance appraisal.
• Preparing Salary Certificate for employees and Experience Letters for ex-employees.
• Schedule interviews with candidates.
• Dealing and advising on disciplinary and grievance procedures.
• Developing & improving existing HR procedures and processes.
• Check the attendance reports through fingerprint or time sheets & Take direct actions for employees’ absences and leaves.
• Updating the payroll file according to the Residence information received from the Visa Section.
• Follow-up all the Legal documents of the company with representative.
• Perform other duties as required by the HR manager.
