• Responsible for performing administrative duties for executive management.
• CV Sourcing from Job portals, social media platforms or other sources of networking.
• Responsible for arrangement of Recruitment of New Employee by arranging their interviews.
• Responsible for applying UAE Residence visa, Labor renewal, visa renewal and visa cancelation.
• Tracking visa applications through Ministry of Labor and UAE immigration company logins.
• Outside and inside country labor and immigration cancellations.
• Coordinating with the accounts department for the PRO transactions and payments (Cash and online) and payment clearances (Cash and online)
• Responsible to apply temporary work permit for employees to visit site.
• Responsible for Keeping Passport Validity Record of the Employees.
• Responsible for Applying Insurance of the Employees.
• Coordinating in the process of group and individual insurance, providing the database of employees with all the required information and documents, updating with addition and deletions with regards to new visa and cancellations.
• Making travel, meeting and event arrangements.
• Applying for business visas for the Director and other staff in the company for different countries.
• Arrange visit visa for clients and employees of different countries.
• Facilitating application of Letter of Assistance (LOA) for engineers for various sites.
• Facilitating application of ADNOC EDMS cards and renewal for engineers.
• Coordinate with clients for arrangement of gate passes required for the team visiting the site.
• Facilitating application of security passes for engineers for various sites.
• Responsible to arrange training for various sites for Engineers.
• Tracking annual vacations of staff including transport arrangements.
Handling ticket bookings for employees going on annual vacation and business trips.
• Prepare Purchase Orders, Offer Letters, Salary Certificates, No Objection Certificates, Experience Letters and Salary Transfer Letters for staff.
• Screening incoming calls and correspondence.
• Responsible for Mobilization and Demobilization of Team within and out of Country.
• Reporting daily attendance of staff to the Director.
• Prepare Deduction Tardiness report of employees for accounts department.
• Preparation of service orders to depute staff on/off shore.
• Maintaining and updating the personal files of the employees.
• Assist Co-workers in handling their job responsibilities while on leave/annual vacation which includes recruitment and visa application procedures.
• Prepare the invoices for the services rendered to the client and follow up on the payments.
• Supporting the Finance department in verifying bill vouchers along with the supporting documents received from Pakistan office and submitting to Finance for processing payment.
• Preparation, checking & validate of payroll for all employees.
• Assisting Finance department in verifying the payroll sheet for Pakistan employees like the attendance, overtime, expense claims, deductions, etc.
• Supporting PRO for Company labor audit, Renewal of company License and Quota application for company.
• Record Keeping and Scanning of documents.
• Assisting medical and life insurance related issues, vacation entitlement, attendance, sick leaves, daily task, etc.
• Any other task assigned by Management or HR Head.
