Responsible for the management of the Vice Rector Office. Dealing with all paper work
generated in the Department.
This also includes:
• Taking minutes of the meeting.
Maintaining communication amongst all the Deans and Chairmans (by
cascading emails, or generating
information as required);
• Taking dictation and transcribing it;
• Drafting/writing of various official letters and notes;
• Maintenance of day to day appointments record and their timely awareness to the
immediate boss;
• Protocol/Reception to high dignitaries who visit Vice Rector office frequently;
• Ensure that all important activities and documents are shared with the colleagues;
• Filing/scanning of documents and seek guidance where necessary and, maintain a
pleasant working relationship;
• Retrieve data for various outputs from the Intranet, Department databases and other
sources;
• Inter and intra departmental Movement of files;
• Dispatch of letters and other papers;
• Typing of all assigned tasks.
Responsible for the general running of the Secretariat; disbursing minutes of the meeting,
issuing notices, and preparing for weekly meetings i.e. Regulatory and Administrative
meetings, taking minutes at all SED’, Executive Board Meetings, Governing Council
Meetings.
This also includes:
• Noting and docting of files;
• Drafting letters and working papers;
• Maintenance of files and records;
• Inter and intra department Movement of files;
• Dispatch of letters and other papers;
• Typing of all assigned tasks;
• Taking notes from executives and data entry, diary management; travel booking;
arranging meetings;
meeting and conference room bookings; taking phone calls; responding to Secretary’s
emails as directed;
dealing with inbound and outbound mails.
Responsible for the management of the Additional Medical Superintendent’s time; scheduling meetings and conferences; diary management and co-ordination with other
Medical Staff.
This also includes:
• Taking minutes at the Additional MS Team meetings;
taking phone calls, arranging meetings and bookings;
• Keeping records of leave, sickness.Taking dictation and transcribing it;
• Drafting/writing of various official letters and notes;
• Maintenance of day to day appointments record and their timely awareness to the immediate boss;
• Reception to high dignitaries who visit Additional Medical Superintendent office
frequently;
