-Receiving, register and preparing e-mail distribution and/or hand over distribution of incoming letter, outgoing letter, faxes, e-mails & drawings/documents from client, sub-con and in house generated documents and other project concern documents.
-Controls issuance of document numbers, including maintenance of proper document registers for detail engineering or construction engineering project.
-Scan the incoming and outgoing letter, faxes, correspondence and other related documents and update the project file electronic copy and the assigned project database/s.
-Maintains specifically assigned project database/s.
-Ensures proper document classification, sorting, filing, labeling and proper archiving
-Ensuring all correspondences regarding contractual matters is forwarded to MD, PM & CM.
-Maintain Master Register for Incoming & outgoing correspondences.
-Checking the distribution sheet to ensure proper distribution and collection of documents (receiving & transmitting).
• Assist the Human Resources Department with daily incoming documents like Vacation Leave, Time sheet, Travel booking request and others.
• Performed duties assigned by the H.R. Manager from time to time.
• Assist in clerical functions (e.g. copying, faxing, data entry, filing, etc.) for the purpose of supporting human resources and office operations.
• A Document Controller maintains and manages all important documents either for a particular project or whole organization and assures that it is easily accessible and stored.
• Transmit and receive incoming technical documents, log into data electronic register, and distribute in accordance with the
distribution matrix.
