Duties and responsibilities:
• Support the Vice President primarily and provide additional support to executive team members.
• Manage Vice President's travel and accommodations, transportation, and meals.
• Assist executives and client's transportation, hotel, air ticket booking and coordinate with PRO for visa requirements.
• Prepare visa requirements and arrange schedules for visa appointment for executives.
• Arrange and handle meeting room booking reservations.
• Receive incoming calls, inquiry and filtering/streaming to correspondent business line.
• Arrange courier services and prepare documents required for shipment of documents or materials through Local & International. Receive and distributes mails.
• Sort and distribute incoming couriers to appropriate business unit/employee.
• Arrange and coordinate JAFZA Gate passes for customers wants to submit payment and visit JAFZA Office.
• Collect payment from customers (cheques/cash) and prepare invoice to client.
• Coordinate with Accounts Department endorse cash/ cheques payment and maintain financial records (daily basis).
• Acquire quotations from vendor and create LPO using ERP system (JDE) for facility and office supplies, coordinates directly with vendors and operations manager for approval. Ensure delivery of approved materials requests/ purchase orders for materials, supplies and services at best value and within company established quality standards.
• Handle customer and vendor registration in ERP system.
• Support the team to process and issue SABER certificates.
• Directly attend customers request for releasing of certificates/ coordinates (exporting conformity certificates) to clients and maintain records.
