Job Purpose: To ensure that the daily activities related to the project run in an efficient
and organized manner through proper maintenance of files and records.
Authorities: Authorized to make decisions within his scope of work
Accountabilities: Accountable for ensuring correspondence and telephone calls are
handled efficiently.
Responsibilities:
• Receive and distribute incoming and outgoing mails, faxes, letters and other
correspondences.
• Maintain document control registers for incoming and outgoing project documents.
• Register and file internal and external correspondents and documents.
• Encodes data pertinent to daily activities at site such as and may be used for daily
reports, weekly reports and monthly reports and other submittals forwarded to the
consultant and/or client.
• Responsible for maintaining a standardized document control system.
• Assist the Project Manager to maintain safety and security of all project documentation
and ensure such documentation (electronic & hard copy) is stored in compliance with
the procedures.
• Ensure all hard and electronic copy distribution of controlled documents to focal point.
• Expedite responses to transmittals sent for review / comment.
• Update document procedures when necessary.
• Manage the electronic and hard copy filing of project related technical documentation.
• Scan; create CD’s and files for project documents.
• Assure document quality to include completeness, accuracy, and compliance with
established procedures and updates.
• Filing and archiving of documentation to facilitate easy retrieval and for future reference.
