• Maintaining & uploading documents in SAP & DRMS (Document Management Record System).
• Updated all incoming and outgoing Contractor and Company Project documentation into register and updated soft copies into FTP site and Electronic Data Management System.
• Responsible for documentation, monitoring, recording & issue of all Design/Production related documents.
• Handling process incoming and outgoing Contractor Project technical and non-technical documentations as Design Drawings, Correspondences, Contractor Site Queries, Variation Order, Minutes of Meeting, Weekly and Monthly Report.
• Ensuring all superseded drawings are removed from register and archived and replaced with up dated version.
• Handling and control process Company Technical and non-technical documentation as Company Site Query, Change Instruction, Site Instruction, Design Drawing, Specifications etc.
• Log & prepare the status of Engineering Drawings, Specifications, Materials Standards, Materials Certification, Vendors & Manufacturers data sheet and documents.
• Prepare and distribute Progress reports every month for clients.
• Preparation of KPI Reports, Weekly Reports, and monthly reports, & other various reports as required.
• Responsible for Project close out documentation in line with company / Client procedure.
• Act as a prime contact point for the Client Representative, Consultant and Sub Contractor for document related issues.
• Prepare various Dashboards for Presentation.
• Prepare and arrange of all the equipment certificates, Test Certificates etc of the vessels in order to incorporate with Project Dossier.
• Communicate with all the suppliers and other external parties for transmitting documents and data between both companies and ensure the acknowledgement of the receipt from both sides.
• Coordinate with all department for easiness of data transfer between each trades.
• Maintaining Technical Library (Hard and Soft Copy) with Specific with specific numbering system.
• Maintain FTP server which is used for uploading and downloading data between.
Role
Full responsible of the incoming and outgoing documents from Client and Contractor.
Receiving and Tracking all the incoming Documents (Shop Drawing, Material Submittal, and Design Drawings. Site Letters) from Contractor and Client.
Printing and editing the drawings using AutoCAD.
Preparing Document Transmittals and Issuing document to contractor.
Preparing Reports like as Weekly Reports, Monthly Reports of the documents and forwarding to Management head Office.
Continuous updating of Document Track Sheet with its correct Number and order.
Maintain filing system and record originals of project documents such as Drawing, Datasheets, Manuals, Operational Test Reports, Pre-Start up activity Reports, Check List and Test Sheets.
Assist to Project Engineers in all documentation and preparation works so as to keep standard and perfection.
Assist to prepare various certificates, transmittals, consolidate comments from the client side, input data (document number, title, revision, date and so on) in to document list, preparing copies of documents.
Establish and maintain document storage and archiving methods and facilities, establish criteria for logging, distribution, tracking and securing, retrieving and storing documents.
Distribution of Technical Documents according to Project Engineering Manager Instructions internally, externally and to the Clients.
Documentation
Maintaining files for all internal and external correspondences, minutes of meetings and other project technical documents.
Distributing documents to Clients, Contractors and subcontractors as per area wise as per the contract terms; retrieving any documents / drawings with little reference possible with the creation and operation of the Computerized Master Record.
