Received handover documents from Client, search redline markups (hard & softcopies) & download native files from JPI. Make plans & procedure, listed the activities to be done and distributed the tasks. List, track and provide weekly progress updates. Attended Client requests/requirements and assist resolving I-Plant uploads (Saudi Aramco's data management platform) issues on deliverables. Transmit deliverables to the Client in a timely manner.

 Established a procedural framework for identifying, receiving and distributing controlled documents. This involves writing and maintaining document control guidelines and numbering across the projects; folder structuring and filling system (hard & softcopies). Provide guidance to resolve document control issues;
 Develop document control processes/workflows and project forms/templates - liaise with contractors & consultants to ensure that submitted documents are in accordance with document control process.
 Prepare, manage, receive, scan, distribute and track all Correspondence, Technical Submittals, Monthly Reports, Tenders & Proposals, Contracts, Payment Certificates and other construction documents;
 Assist Business Development Team for collating, formatting and preparing Prequalification Docs & Proposals
 Secure confidential and proprietary information.
 Troubleshoot computers (hardware & software), network and printer access problems;
 Create & manage user accounts on Domain Controller and assign user access rights on the network drives;
 Setup and configure MS-Outlook email accounts of the employees.

* Participate in updating ACONEX guidelines and document control procedures. \n* Induct and provide ACONEX basic user-trainings for the project team members and on-boarding sub-contractors. \n* Review and proof read documents for consistency of document format, revision control, validation status and system concerns, prior issuing to client \n* Transmit, track and ensure all outgoing documents/submissions are accurate and comply with company’s ISO standards and policies. \n* Coordinate among engineering disciplines team (internal staff & sub-consultants) to provide support in preparing, packing each item deliverables of each design stage from Basis of Design, to Concept Design, to Detailed Design and to Closeout Documentation. \n* Distribute documents as per document distribution matrix and ensure project-team members are working and using the latest version of documents. \n* Generate ACONEX weekly document status report then follow up Ball-in-Court contacts for the outstanding items to avoid any delays and cost impacts. \n* Organize and maintain an efficient office filing system and proper records of all project documentation discipline. \n* Lead in preparing project closeout deliverables in conform with client’s preference and in accordance to contract towards smooth handover and ensure handover documents are properly archive both electronic and hard copies. \n* Perform other duties as assigned; filing, prepare reproduction of documents if needed, scanning, CD burning, CD label, etc.

* Participate in updating the document control procedures, guidelines and map process flow charts processes. \n* Develop Primavera Contract Management (PCM) and ProjectWise (PW) training manuals for the MHQ project. \n* Induct project team the program document management system and ensure everyone will comply with the project document control requirements by providing PCM-PW user training. \n* Manage the day-to-day document control activities and ensure Client/Consultant/Contractor data is processed, quality checked and returned in a timely manner. \n* Maintain Pre & Post Contract change management documentation records, approval of Variation Orders (VO), Project/Client Management Instructions (PMI) and Request for Information (RFI) on PCM. \n* Proactively resolve any PCM and PW technical issues and operations throughout the life of the project. \n* Generate weekly document status reports on PCM and follow up Ball-in-Court contacts for the outstanding items to avoid any delays and cost impacts. \n* Assist Project Control Team issuing and receiving large volume of RFP for the Construction. \n* Carry out Project Closeout activities on PCM - ensuring all correspondence are properly addressed and closed. \n* Ensure handover documents, As-Built Drawings and Operation & Maintenance Manuals are properly archived on PW for client use.

* Provide PCM and ProjectWise user-trainings and Technical Support.
* Contribute ongoing improvement and implementation of Document Management System (Primavera Contract Manager, ProjectWise and SharePoint) in the Program by updating the procedures and processes, installing/configuring system tools and resolving technical issues.
* Load Executed Contracts on PCM; generate Change Management if there is variation order or deviation from the scope of the contract.
* Responsible for receiving, checking and verifying documents in accordance to the Program Document Management Guidelines.
* Distribute documents as per document distribution matrix and ensure that teams working on the program are using the latest version of documents.
* Liaise with project team members to expedite the return of documents and/or approvals / comments within the required time period and ensure all markup documents are loaded on ProjectWise.
* Generate Weekly Project Reports (Submittals, RFIs and Meeting Minutes), track overdue items then notify/follow-up concern people for closure or action.
* Carry out Contract and Project Closeout activities on PCM including Punch Lists, As-Built Drawings and Operation & Maintenance Manuals.

Document Controller : \n \n* Ensure that large volumes of documents are processed and ultimately archived in an efficient, fully traceable manner by using Primavera Expedition in order to maintain complete contractual records of the Project throughout the various phases of the work. \n* Responsible for receiving, checking and logging of drawings and material submittals, method statements, pre-qualifications ITRs/NCRs and letters received from the Contractors and distribute them accordingly to various parties concerned for review, comments and recommendations. \n* Prepare transmittal for outgoing documents through Expedition and forwarding them to Client for information or final approval. \n* Maintain an efficient office filing system and proper records of all Project documentation discipline. \n \nIT Support : \n \n* Administer Windows Server 2003 on HP Proliant DL380 G3 server-based network with Windows XP Professional clients. \n* Troubleshoot computers (hardware & software), network problems and other office equipment faults such as plotter, printer, facsimile, scanner and photocopier machine. \n* Implement Symantec VERITAS Backup Solution in the Network for Daily Data Backup. \n* Configure and maintain email accounts (Microsoft Outlook) for 55 employees. \n* Install and maintain various standard software such as MS Office, AutoCAD, Primavera Project Planner P3 and Anti-Virus as per project requirements.
