• Establishes a document filing system for hard copies of all incoming and outgoing documents.
• Set up an electronic library system for the management of technical documentations.
• Registers files and retrieves all incoming and outgoing documents.
• Maintains all documents in accordance with the project communication protocols and the document control project procedures.
• Uses document management software such as Primavera Contract Management System to file soft copies of all incoming and outgoing documents, which is to be kept up to date at all times.
• Reviews the incoming documents, checking for completeness and accuracy of document, and notifying the consultants and or departmental sections accordingly.
• Performs document quality check in accordance to company’s document control procedures.
• Provides training for Primavera Contract Management System to my subordinates.
• Develop and maintain document control processes for the efficient management and recording of documentations.
• Develop electronic filing and archive system and technical library for easy to issuance, storage, retrieval and management of documents to internal and external customers.
• Custodian for project technical documents that must be controlled and kept for audit/internal requirements.
• Maintain proper organization and storage of documents and information.
• Implement and maintain office procedures, transaction records and admin duties to provide data.
• Provides training using Enterprise Resource Planning / Oracle Process Manufacturing System and guidance to my subordinates.
• Maintain and manage all documents of the whole organization and assures that it is easy accessible and stored properly.
• Make sure that controlled copies of latest approved documents are distributed to appropriate staff.
• Keep all project documents orderly complete and categorized for easy accessibility to specific records and projects.
• Coordinates in all activities related to the document control procedure.
• Maintain the documents in DCC under safe custody without any damage and easily traceability.
• Coordinates meetings with the Management to discuss project needed resources or issues/delays in completing the task.
• Generate various document control reports as required.
• Provide full admin support to the team.
• Responsible for Encoding the Production Output and Rejects.
• Responsible for the Month End Inventory.
• Ensures proper document classification, sorting, filing and proper electronic archiving.
• Registers files and retrieves all incoming and outgoing documents.
• Dealing with other staff or visitors, on phone or in person.
• Any other work required by the company under my profession.
