Screen and coordinate phone calls, enquiries and all kind of communications, draft
correspondence for the RVP track and follow up on requests, identifying those of
importance which require attention.
Follow up with appropriate staff on behalf of the RVP to ensure requests and
correspondence are responded to on a timely basis; establish tracking/feedback
system to ensure issues are recorded, addressed and resolved.
Handle confidential matters for the RVP as requested, including
direct and frequent interactions with different departments, and managers.
Provide support for the RVP (e.g., gathering background information, researching issues,
preparing executive summaries and other materials, coordinating with other
departments to secure materials requested).
Dealing with incoming emails, faxes and post, often corresponding on behalf of the RVP.
Liaising with clients, suppliers and other staff.
Correspondance with agents.
Responsibility for key accounts.
Taking on some of the RVP responsibilities and working more closely with management.
Deputizing for the RVP, making decisions and delegating work to others in the manager's
absence.
Coordinate work with other executive and support staff to ensure a high performance, customer service-oriented work environment.
Seafreight and Airfreight Operation:
- Input of purchase, sales and other related data in the local IT system.
- Process documentation for import, export and transit shipments.
- Communicate with clients and carriers on order placement and status.
- Gain a formal understanding of domestic and international rules and regulations that govern the shipments of chemical and pharmaceutical products, dangerous goods and general cargo.
- Process customer invoices based on INCO terms.
- Maintain hard coded regulatory data for company shipments.

Sales and Commercial role:
- Executive visits to existing and new customers.
