SCOPE OF THE DUTIES & JOB RESPONSIBILITIES

1.WAREHOUSE MANAGEMENT

1.1.Systematically manage stores operation in compliance with company policies and in accordance with the standard stores management practices.

1.2. Ensure the stores operate at peak efficiency with customer satisfaction being the primary goal by organizing directing and supervising stores employees to achieve operational goals.

1.3. Maintains receiving, storing and distribution of goods by initiating, coordinating and enforcing operational policies & procedures including with compliance of ISO certification and quality standards.

2.SAFETY & SECURITY OF SKUS

2.1.Safeguard stores operation and contents by establishing and monitoring security procedures and protocols

2.2.Comply with strategy and actions which encourage & create a safe working environment for all level of employees.

3.ERP SYSTEM ADMINISTRATION

3.1.Control inventory levels by conducting physical counts and reconciling with data in the computerize stock management system SAP (Standard Application Procedures)

3.2.Propose and establish the required internal and management controls into the SAP for safeguarding stock control system if any lapses arises or available in time to time.

4.INVENTORY MANAGEMENT

4.1.Perform the perpetual stock verification in monthly wise and plan to cover up all high value items on regular basis and result to be provided to the management on continuous basis.

4.2.Warehouse Manger will be responsible for the all stock values and quantities by maintaining high level of accuracy with informative.

4.3.Maintains physical condition of warehouse by planning and implementing new design layouts inspecting equipment issuing work orders for repair and requisitions for replacement.

4.4.Achieve financial objectives of the stores function by preparing an annual budget, scheduling expenditure analyzing variances and initiating corrective actions.

4.5.Maintenance of separate stores location and recording system for the Temporary Import for Export Processing (TIEP)goods and reconcile with record available with Logistics Manager in concurrent basis and maintain the statuary documentation relating to the TIEP process.

4.6.Implement FIFO system for item issue and linking bar code management for all items



5.PEOPLE MANAGEMENT

5.1.Oversee warehouse operational requirements by scheduling & assigning employees for respective activities and following up on work results.

5.2.Maintain warehouse cadre job results by coaching counseling & disciplining employees and planning, monitoring & appraising job results.

5.3.Maintain a safe and healthy working environment by establishing, following and enforcing standards & procedures while complying with legal requirements.

6.MANAGMENT INFORMATIONS

6.1.Generate & produce reports & statistic regularly and produce to the management for taking necessary decisions.


7.CUSTOMER SERVICE & MANAGEMENT

7.1.Liaise with and provide focal pint for clients to ensure that their interest are more effectively fulfill.

7.2.Collaborate and work effectively with all others affecting or affected by warehouse manager’s actions.

8.QUALITY MANAGEMENT

8.1.Ensure application and maintenance of all quality system procedure implemented by the organization.

8.2.Ensure compliance with Quality Management System by supporting the administration of the internal audit program, corrective actions and customer feedback procedure.

9.WARRANTY AND CLAIM PROCEDURE

9.1.Properly maintaining defective items warranty replacement records for getting supplier warranty replacement as quickly as possible for those items with collaboration of Supplies department and respective Engineering and Quality departments.

9.2.Maintain warranty item details with NCR data base for corrective action and gain financial improvements to the organization.

Supply planning and purchasing construction materials, machinery and consumables.All types of construction material buying experience-Tor steel 10-16 mm bars, cement bulk, timber, Electrical items, Plumbing items
To ensure that goods are received into, and issued from, Oxfam warehouses in accordance with Oxfam GB procedures, using FACTS software.To ensure that accurate records of stock levels and movements are keptTo carry out regular (at least monthly) stock checks and reconciliations are carried out.To carry out the customs clearance process for goods arriving in the country, and for goods being exportedTo ensure that accurate records are kept of Oxfam assets, in accordance with standard Oxfam definitions and procedures.To maintain and update country asset list accurately in conjunction with field logisticiansTo assist closure logistician to organise exit strategy on all logistics matters by providing information on warehouse stocks and assetsTo support field offices completion of projects before closureTo prepare asset list location wise in order to plan transfer and donation of Oxfam assetsTo carry out field visits to Oxfam partners and work closely with to update asset listsTo ensure that the proper administrative filing and archiving of all logistics transfers/donations

1. Review and evaluate the effectiveness or non-effeciveness of existing policies and procedures as they are related to the quality control testing, transport and delivery storage/warehousing.
Identify associated constraints, problems and impact of delivery and accountability.
2. Develop a monitoring and control system and policy for the timely tracking, delivery, inventory, materials wastage/pilferage and practical timely reporting system etc. to help ensure openness of transation and accountability.
3. Actively assist in the procurement of materials and services focusing on the needs on housing programs.(Transitional, Permanent, constructiona material asistence)
4. Assist the procurement unit in tapping and developing competitive and responsive suppliers/ frame agreements including international procurement.
5. Assist in developing practical material quality assurance program(from submission of specifications, fabrication, transport, storage and issuance)
6. Preparation of standard materials, services and construction contracts/agreements in accordance with government, donors and legal international standards.
7. Initiate/conduct workshops/training of Colombo and district staff related to the proposed development and updating of policies and operational procedures related to logistics/supply chain concept.
8. Maintain an extencive coordination/consultation mechanism with respective district offices, to evaluate their needs, identify the problems and propose lasting solutions.
9. Assist in identification/development of logistics requirements for disaster prepardness and mitigation as need arises.
10. Attend esternal and CARE inter organizational meetings as required including coordination with various CARE’s operational units.
