Working alongside with Vice Chairman, invaluable in helping support them with the day-to-day running of the business with administrative and secretarial work
• Organizing diaries, keeping notes and scheduling meetings to setting up conferences and
assisting with travel trips
• Booking and arranging travel, transport and accommodation.
• Reminding the manager/executive of important tasks and deadlines.
• Typing, compiling and preparing reports, presentations and correspondence.
• Conducting research on behalf of my manager.
• Organizing the manager’s personal commitments including travel

Maintaining a hard copy reference library of all documentation which ensures quick and easy
retrieval of information.
• Reports and works closely with the Project Manager and Commercial Manager and primarily
ensuring to provide them full assistance in daily
• Prepares transmittal and draft of letter for Client’s and/or Contractors.
• Prepare and disseminate, memos and forms
• Support and facilitate the completion of regular reports
• Maintain, track and manage incoming and outgoing documents from pre-tender stage, pre-
project startup construction and project close out.
• Ensure that latest copies of relevant documents are accessible by authorized personnel either
hard copies of drawings, correspondence method statement, permit and license, contract
documents, administrative communications reference work program, payment certificates
and other related documents.
• Input document data into the standard registers ensuring that the information is accurate and up to
date.
• Preparing and implementing squad checking documentation in accordance with procedure and
distribution matrices.
• Handle and prioritize incoming and outgoing correspondence in a timely manner
• Preparing accurate status reporting based upon the metadata designations and submitting at the
determined frequency.
• Prepares Weekly and Monthly report.
• Coordinating and Assisting Planning Department in preparation of Extension of Time for the Project.
• Filing contracts and lease agreements and gathering documents on the creditworthiness of a potential
customer.
• Prioritizes conflicting needs; handles matter proactively, and follows-through on projects to successful
completion, often with deadline pressures
