Admin Duties for Sales/Rental LISTINGS
Maintaining and Updating all the listing Master List i.e. for sales and rentals
Preparing the listing list for agents
Emailing the listings everyday
Updating and emailing relevant parties for every listing which is updated
Accepting listings for sales after checking that all requirements or documents are complete handed by the agents before listing them Filing and arranging file for new listings
Maintaining/ Ensuring agents are sign-in & sign-out on the key logs (sales/rent listings)
Monitoring/Updating new sales/rental listing on the whiteboard
Doing floor plan for apartments/villas

Reception-
Preparing Tenancy Contract for Short-term Rentals
Follow-up incomplete documents to agents for Short-term rentals (e.g. Title Deed, Tenant and Landlord passport copies with visa page)
Monitoring of keys, parking stickers and apartment access cards are handed over during check-in and check-out of the apartment
Preparing acknowledgement receipt (for tenant/landlord)
Make sure all inventory list for Short-term Rentals are filed
Make sure inventory list will sign by tenant on the day of check in/check out.
Arranging all Short-term Rental files
Tracking and updating information on the Short-term Rental Database
Maintaining & Updating Short-term Rental Report
Filing incoming documents from Short-term Rentals
Preparing Security Deposit Refund of tenants vacating the apartment
Monitoring of Short-term Rentals for renewal of contracts
Calling or Sending emails to tenants before expiry for the tenancy contract
Receiving and resolving complaints from Tenant/Landlord regarding maintenance issues
Scheduling of cleaners for Short-term Rentals
Make sure apartment is clean before tenant check in.
Make sure apartment will be cleaned after tenant check-out.
Updating/Emailing Managers for any related works for Short-term Rentals
Maintaining/ Ensuring agents are sign-in & sign-out on the key logs (short-term rentals)
Preparing authorization letters for clients and agents regarding relevant issues.
