 Prepares document control procedure as per Filing System for both internal and external documents in line with project guidelines.
 Responsible for the effective and efficient document control in accordance with established procedures and ISO standards.
 Maintain custody of all records, ensuring secure and confidential storage of technical and non-technical documents.
 Maintains and ensures that the Master Tracking Register of document flow are updated.
 Responds in a timely manner to requests to retrieve information, information searches and general requests for support from project/department personnel.



ADMINISTRATION
 Provides full secretarial and admin support to the Project Team
 Monitors and makes requisition to replenish office stationeries and supplies
 Prepares and submits expense / Petty Cash Report for Project Manager's approval
 Liaises with Consultant regarding the necessary passes required at Site
 Prepare and request for all personnel (Tornado and Sub-contractor) prior to their Mobilization to the Project
 ONBOARDING OF SUB-CONTRACTORS - Liaises with Sub-Contractors in completing the documents required by the Project Welfare ensuring and verifying that all of these are in compliance with the requirement prior to submission to Client for further review and approval.

DOCUMENT CONTROL
 Prepares document control procedure as per Filing System for both internal

 Provides full secretarial and admin support to the Project team and
department
 Maintains Calendar of Activities and Meetings
 Takes Minute of Meetings and maintains records for project team
 Performs data entry
 Composes letters, memorandum and reports as assigned
 Prepares and raise purchase requisition of office stationery and supplies
 Distributes incoming / outgoing correspondence and filing the same in
accordance with the filing structure
 Spearheads the mobilization of Staff and Workers for the Project
 Liaises with the Client and Consultant regarding the necessary passes and
permits required in the Project Site.
ACCOUNTS
 Handles and disburses Petty cash
 Prepares and submits expense report to management for approval
