-Assist clients with their visa applications (new, renewal, cancellation, transfer, family visa)
-Provide high calibrated customer service
-Answer clients’ with their HR related queries such as (but not limited to) visa applications, full & final settlement, etc.
-Provide HR administrative work to clients
-Peruse clients’ payroll
-Assist clients with their certificate/letter requests (NOC, salary certificate, salary transfer letter, salary amendment letter)
-Generate opportunities in SalesForce (ERP) system for invoicing and collect payments from clients (to provide to Finance)
• Ensuring timely renewal of our employee’s working visa, labor contract and labor card
•Maintaining employees’ personal file and record in our HRB system (ERP)
•Contacting various contractors and possible contractors to get various quotations
•Preparing and handling HR petty cash of AED 10, 000
•Preparing and circulating company announcements
•Maintaining leave record of each employee as well as their air ticket balance
•Forwarding staff complaints to the concern person and ensuring that these complaints are addressed
•Updating HR data base accordingly
•Preparing documents such as salary transfer, salary certificate, NOC, experience letter, warning letter, increment letter, bonus letter, and termination letter upon employees and Management’s request
•Advertising external job vacancies
•Screening CVs of applicants
•Calling applicant to schedule interview
•Securing timely renewal of the company registration, vehicle’s registration cards, and insurance
•Sending staff for medical, required for visa renewal or new visa application
•Preparing required documents for visa, labor card, and labor contract application
•Creating forms as required by Director Support Services ( survey form and nomination form are samples of the forms I have created)
•Assisting Director Support Services in the preparation of HR Budget
•Preparing offer letter for new employees
•Preparing timesheet and encoding employees’ overtime essential for payroll generation on monthly basis
•Preparing monthly report on Salary expense (existing salary, upcoming joiners, and projected recruitment) to avoid exceeding from our approved HR budget
•Preparing company policies as per the instruction given by the Management
•Ensuring that company policies are well implemented to avoid receiving NCR from auditors
•Applying visa required for employees’ business trip
• Greeting and assisting visitors and customers courteously
• Arranging appointments with customers and contractors and maintaining meeting room booking up to date
• Ensuring organization within reception
• Identifying needs in reception such as water and coffee cups, water, company profile, and missing ingredients in the vendo machine
• Photocopying, scanning, and encoding documents as requested by the staff
• Filing Contracts and Invoices accordingly
• Answering and screening telephone calls and writing messages for staff who are not available
• Receiving and giving parcels to their recipients
• Arranging courier services for staff
• Sorting out and sending out invoices to our customers
• Sending correspondence to CSD to rely end-users' concern and contact details
• Receiving and answering correspondence from customers
• Preparing and editing letter
• Keeping records of cancelled contract, letters received and customer complaint.
• Making reports on a daily basis concerning customer complaints I received, who attended the complaint and what necessary actions have been done to sort out the problems
