Support the customer's business processes and performance by delivering solutions and consultancy services for increased efficiency of operation with the customers through the following products:
• OCS HR - A comprehensive suite of software covering HR, crewing and payroll needs of shipping and offshore companies.
• OCS HR Self-Service - A solution that connects employees directly to the HR system improving data quality and increasing employee satisfaction.
Main Duties:
• Act as domain expert in larger and smaller delivery projects
o Understand and document customer requirements and business objectives
o Work out solution descriptions for project deliveries
o Provide best practice advice to customers
o Presents training sessions related to the assigned program
o Design and configure system set-up and workflows to customers using Mintra’s solutions
• Customer contact, support and deliver consulting services to national and international customers.
• Contribute to continuously improve delivery methodology and services
• Work collaboratively in cross functional teams
• Review product information including manuals and brochures for domain accuracy
• Test new application releases, document test and results, and work with developers or Product Managers to describe error scenarios
• Provide 2nd line support to customers
Human Resources Duties:
• Responsible for the day-to-day operations of the HR section, including HR support to the Management Team, and Employee Relations for all employees.
• Monitoring of employee’s daily attendance, absences and leave activities.
• Providing information and assistance to staff, supervisors and counsel on human resource and work related issues.
• Maintaining personnel files.
• Coordinating with all concerned departments for newly joined employees, exiting employees, deductions, reimbursements, training needs, IT set-up, etc.
• Completing other duties as assigned by the department head.
Recruitment Duties:
• Coordinating staff recruitment and selection process in order to ensure a timely organized and comprehensive procedure is used to hire staff.
• Providing advice and assistance to supervisors on staff recruitment.
• Preparing notices and advertisement for vacant staff positions.
• Preparing relevant candidate pools for hiring managers to review.
• Scheduling and organizing interviews.
• Participating in applicant interviews and ensuring documentation is complete.
• Collecting all required candidate documents and ensuring they are available when needed.
• Informing unsuccessful applicants.
• Completing other duties as assigned by the department head.
HR/Crewing Duties:
• Reporting to Crewing Manager, Marine Superintendent, and Operations Manager.
• Coordinates with marine and seismic crew personnel with regards to crew change, trainings, certificates, documents, etc.
• Planning and carrying out timely schedule of crew change/rotation for each vessel.
• Organizing and arranging applicable visas, travel and meeting arrangements for all on-signing crew from their point of hire to the embarkation port through the respective vessels’ agents.
• Arranging necessary training as required by charterers and ensures that crew joining ships have completed all the required trainings before embarking.
• Maintaining and updates sea staff personnel records in the HR management system (OCS)
• Monitoring validity and expiry of certificates and travel documents.
• Ensuring that all sea staff meets all Flag State and ISM regulations with regards to certification.
• Closely coordinating with the vessels’ Masters and Party Chiefs for crew related issues.
• Providing payroll department with necessary information and accurate inputs about monthly payroll.
Recruitment Duties:
• Identifying the vacancies and sources crew directly (LinkedIn) or through manning agents from different countries (e.g. Russia, Ukraine, Philippines).
• Evaluating the CVs and checks the qualifications of marine crew candidates to ensure that they are qualified, competent and licensed personnel necessary for the operation of the vessel.
• Scheduling the interview through skype or phone.
• Giving job offers to selected candidates.
• Informing unsuccessful applications.
• Keeping database of CVs for future use.
HR/Crewing Duties:
• Directly reporting to the Fleet Manager and coordinating with marine crew employees
• Planning and carrying out the crew change/rotation for each vessels.
• Organizing and arranging of applicable visas, travel and meeting arrangements to on-signers & off-signers from their point of hire to the embarkation port through the respective vessels’ agents.
• Preparing of employment contracts and opening of record file for new marine employees
• Monitoring validity and expiry of certificates and travel documents.
• Maintaining personnel data in HR System (Paytrax Software Program).
• Ensuring that all sea staff meets all Flag State and ISM regulations with regards to certification.
• Verifying the authenticity of the Certificate of Competency through IMO website.
• Closely coordinating with the vessels’ Masters for marine personnel related issues
• Processing of payroll for all marine employees every month.
• Performing other related duties as required.
