• Perform clerical and administrative activities, including filing, documentation control, photocopying, faxing, data entry and retrieval, distribution of mail / documents and word processing and dictation for letter or mail.
• Logistics administration for COM which includes: -
Manpower allocation, Maintain records of Staff on sites
(Attendance, Overtime, Sick Leave, Leaves, scheduling), Fleet
Vehicle data and information and services date,
• Arrange, organise and book meeting venues
• Take meeting minutes, document meeting minutes and distribute.
• Update and maintain the integrity of the Contacts Database
• Manage diaries/calendars ensuring efficient use of time
• Invite quotations from contractors and suppliers and prepare a comparison sheet.
• Prepare quotations for additional jobs.
• Communicate with clients and service providers as required by Senior Operations Manager instruction.
• Receive all invoices for Senior Operations Manager
• Reconcile any invoice errors
• Forward all the supporting documents to finance for timely payment to the service provider
• Track unprocessed & on hold invoices
• Coordinate and communicate with operations staff, clients and other departments.
• Cross check invoices & delivery notes and ensure that the services are provided as per the contract or LPO
• Compile and input information for Monthly reports
• Any other duties as directed by Senior Operations Manager
• Preparing Annual Maintenance Contract of the Vendor
• Preparing Facilities Management Contract - Client Contract
• Preparing of LPO using Concept 500 - Navision / Citrix
