Work at Clarkson Shipping Agency as Customer Services Supervisor & Documentation Officer

Essential Duties and Responsibilities:-
 First & main point of contact with the agency customers abroad. Appointment & inquires replying / answering the objections / clarifications or any needed information for the vessels Owners / Charterers / Brokers, etc.

 Manage, organize & oversee the coordination of all vessels operations for Bulk Carriers all over Egyptian ports.

 The key role in vsls operation, Coordinate & Dealing day to day with vsls principals, port authorities, customs & other statutory authorities for berthing scheduling, Loading and Discharging Operations to minimize vsls time alongside in order to earn dispatch for customers & reduce costs.

 Provide accurate & timely reports " Cargo operations, Berthing prospects, Pre-arrival info, Arrival & Departure reports…etc " to principals as per ISO guideline.

 Provide quality services to internal and external customers in all assigned tasks, while upholding the company values at all times.

 Leading & Close liaison with Port Authorities, Masters, Surveyors, Cargo Underwriters, P&I clubs & all concerned parties, etc.. for the amicable settlement of claims against losses in case arises!

 Preparing & Performing Cargo documents (Bs/L, Cargo Manifest, Delivery Orders, and Mate Receipt & Master's Receipt).

 Monitor delivery schedules and coordinate with services providers & other parties for prompt & timely rendering of services required by vessel principals as the flowing:
A. Delivery of spare parts, including Custom clearance at AirPort (via repetitive at AirPort), transportation fm Airport till the final delivery destination.
B. Organizing for bunkers, fresh Water, fresh provisions, medical assistance, disposal of sludge and slops.
C. Crew Change, including reception at Airports, entry Visa (via repetitive at AirPort), transportation fm AirPort to the Port, hotel accommodation, coordinate with Ports branches for signing On / Off formalities …… etc.

 Reporting directly to the branch manager & liaise regularly with senior management for under ongoing activities & future developments can be achieved.

 Available for help and support other team members in their daily activity.

 Preparation of ports reports like Cargoes import reports, Line up reports "Monthly, weekly & daily basis".


 Maintain ports records, including providing tracking or shipping history information to customers on request.

 Maintains accurate records for all vessels, and activity reports & ensure they are complete & up to date.

1- Operation Bulk Vessels

Explanation: E-mails \ Fax:
- Send ETA Notification to the Receivers on Daily Basis Till vsl Arrival.
- Send Berthing Notification to the Receivers after vsl berthing.
- Send/deliver by Hand NOR Notification to Receivers as soon as we received
It from Master.
- Send Daily Report of Discharge \ Load Rate to Receivers.
- Correspond to all Receivers + Master + Owners E-mails.
- Send Final Draft Survey + Sailing Time after vsl Complete
Discharge \ Load.
- Send Weekly Report Covering all Ports Status.
- Send Monthly Report to about all Clinker/Cement
Exported/Imported from Alexandria/Dekheila Port.
- Coordinate with Port Office for Vsl Smooth Handling / Berthing / Sailing.
- Coordinate with Master in Ease any Service is requested on Board during vsl Stay at
Port (FW - PROVISION - SPARE PARTS - SIGN ON/OFF … ETC).
- Make Vsl Report after vsl sailing with all Data/Service/Problems to conclude all
Services done during vsl Stay at Port.
- Arrange all vessels Files and Folders according to Dates


2- Containers Movement Cosco Line

Explanation:
- Follow-up Containers Movement In\Out.
- Insert Data of Containers Movement In\Out in Computer System.
- Review all OBL (Numbers, Ports, Notify, Date, Freight, Weight, Containers...ETC)
- Insert New Vessels Voyage (Vessels Name, Voyage Number, Port of Arrival,
Estimated Time...ETC).
- After Review all data and check Insert Vessel in Stock.
- Making Empties Booking Plan on Iris System.
- Send Daily/Weekly Equipment Control Reports
(Full with Customers, Empty Containers in \ Out, Yards, Stock Containers).


3- Boarding Agent

• Prepare All Required Documents And Getting Permissions To Arrange For Safe And Smooth Berthing
• Co-Ordinate With Vessel Management For Successful Inspection By Immigration, Quarantine And Port Authority
• Arrange And Supervise The Loading/Discharge Operations
• Facilitate Communication Between Stevedoring Company And Vessels
• Execute The Planned Bunkering, Crew Changes, Repairs And Supplies
• Perform The Appropriate Procedures For Sailing After Operations Completion
• Prepare Statement Of Facts With Required Filling In Of All Necessary Applications To Conclude The Operations Before Sailing
