- Making sure that all office systems are managed and maintained, including Staff Recruitment Files
- Updating work colleagues on business performance, new initiatives and related issues.
- Execute tasks given the managing partners.
- Provide administrative and executive support within busy office.
- Prepare reports, spreadsheets and presentations.
- Staff administration including holiday and sickness tracking.
- Monitoring and follow up of staff timesheets time in lieu and holidays.
- Ensuring that any concerns or complaints are dealt with appropriately.
- Involved with recruitment, sourcing potential candidates and arranging interview’s
- Document management & document control.
- Initiating and issuing correspondences and all related activities like follow up with staff to take action.
- Input and maintain accurate and current records of issues in the following-up process on the implementation of directives.
- Report back to the management on implementation progress, difficulties encountered and feasible recommendations to address problems.
- Prepare regular report as requested on actual progress.
- Assist the Managers in all their administration functions and carry out administrative duties as assigned.
- Fulfill all reporting requirements, and maintain records concerning administrative related data.
- Responsible for ensuring that all decisions and directives from the senior management are implemented properly in coordination with the staff.
- Organizing and managing the Manager calendar
- Follow up issues instructed by the Managers.
- Support the team.
- Coordinate meetings (MOM), knowledge transfer presentations and committees as required.
- Draft letters and get involved with projects.
- Maintaining the conferences and staff training of the Department.
- Bi- lingual support (English/Arabic - Arabic/English).
Diploma of translation (French/Arabic - Arabic/French)
