Executive Assistant to the Director • Manage Director's calendar, travel, visa documents, and secretarial tasks, organize board and operational staff meetings, prepare agendas and minutes.
• Draft, proofread, print, and compile important documents, prepare presentations and reports.
• Maintain confidential documents and information security.
• Analyse data and create reports for upper management using Power BI and Excel.
• Act as bridge between director and other executives/departments.
• Research and provide information on relevant topics.
Administration • Working to facilitate positive, productive working environments through reliable administrative support to the management and fellow staff, routine clerical functions, inventory management, hospitality, organizing meetings and events, documentation.
• Monitor and ensure maintenance of the general housekeeping in the premises, Punch cards of Staff and ensure attendance records are proper. Reporting to the Director.
• Manage monthly pantry purchases based on office and site needs, ensuring timely delivery.
• Liaise with the Transport Officer to assign drivers for site operations, messenger services, and other transportation requirements.
• Facilitate guest visits and organize welfare activities in collaboration with relevant departments.
• Monitor and ensure timely dispatch of documents and mail to various locations as per departmental requests.
• Serve as the primary point of contact between over 100 employees (Operational and administration staff) and management for their administrative & operational requirements.
• Follow up and ensure maintenance of the office equipment (Photocopiers/Attendance Machines/ Fire Fighting Equipment etc.) in coordination with concerned dept. Maintain Assets List and update records in the system. Prepare transfer notes, take necessary approvals and gate passes for materials transferred

IT Support • Manage and maintain a 30+ PC Windows network, Evaluate, monitor, and enhance IT infrastructure for security, reliability, and scalability. Providing basic IT troubleshooting and user assistance-Resolve technical issues, provide desktop support, install software, and train users.
• Manage office IT equipment and inventory. All Stationery inventory
Additional Responsibilities • Maintain records of leased properties, utilities, and petty cash, Documents-contracts.
• Submit weekly and monthly reports to the Director.
• Adhere to QHSE policies and report safety incidents.
• Handling the team of Office boys, time keepers, Transport asst., purchase asst. and admin asst.
