Communication and events’ management:
- Receive, direct and relay e-mail and phone messages with internal subjects and governmental agencies in Arab Countries, in addition to Regional and International organizations.
- Follow up with attendees and participants to scheduled events and provide required support.
- Assist staff in completing and submitting administrative forms.
- Contribute in arranging and implementing events for high level meetings, committees, teams, seminars and other activities.
- Preparing participants’ travel itineraries of both international and domestic travel, airport pick up & drop off, and hotel reservations.
- Arranging for meetings, distributing invitations, following them up, assisting the Administration Department in Logistics, assisting in the preparation of documents and minutes of the meetings and all related correspondence.
- Studies, reports, documents and minutes of meetings and missions.
Above tasks mainly related to:
- Annual Meeting of the Steering Committee of Arab Statistics Initiative “Arabstat”
- Various High Level Meetings, Workshops and Conferences.
Regular Tasks and responsibilities:
- Responsible for data gathering, processing & updating all tables required for the annual Joint Arab Economic Report (i.e: Balance of Payments, National Accounts, Foreign Trade, External Debt..)
- Referring requests or complaints to appropriate staff and following them up
- Review /determine and route incoming correspondence.
- Following up pending matters and making sure that issues are well tackled, on time and through the right channels.
- Developing efficient systems for filing, archiving and pending matters.
- Assisting and providing backup support to other Heads of Departments.
- Communications with member countries and Regional and International institutions.
- receiving, registration and dissemination of incoming and outgoing mail.
Records, Reports, and Correspondence:
- Prepare correspondence, forms, manuals, schedules, contracts, and reports for the assistant superintendent of human resources and other department staff members.
- Prepare recruitment and new-hire packets.
- Responsible for online application process, including verifying completeness of files, sending acknowledgement cards, and notifying those not selected for employment.
- Post job vacancies on district websites along with various professional/educational websites as applicable.
- Attends meetings, workshops and seminars for the purpose of gathering information required to perform functions.
- Answers telephone system for the purpose of screening calls, transferring calls, responding to inquiries and/or taking messages.
- Receive, sort, and distribute mail and other documents to department staff as needed.
Archiving Systems Operator:
- Prepares source data for computer entry by compiling and sorting information; establishing entry priorities.
- Processes staff and account source documents by reviewing data for deficiencies; resolving discrepancies by using standard procedures or returning incomplete documents to the concern department
- Enters staff and account data by inputting alphabetic and numeric information on keyboard or optical scanner according to screen format.
- Maintains data entry requirements by following data program techniques and procedures.
- Verifies entered data by reviewing, correcting, deleting, or re-entering data; combining data from both systems when account information is incomplete; purging files to eliminate duplication of data.
- Secures information by completing data base backups.
- Maintains data confidence and protects operations by keeping information confidential.
- Generate Report to the Management with requested data and Forms.
- Using a variety of software packages, such as Microsoft Office, to produce correspondence and documents and maintain presentations, records, spreadsheets and databases.
- Devising and maintaining office systems;
- Attending meetings, taking minutes and keeping notes;
- Liaising with staff in other departments and with external contacts;
- Ordering and maintaining stationery and equipment;
- Sorting and distributing incoming post and organizing and sending outgoing post;
- Organizing and storing paperwork, documents and computer-based information;
- Answers telephone, takes messages and answers inquiries within assigned scope of responsibility

- Answer phones and respond to customer requests.
- Sell product and place customer orders in computer system.
- Provide customers with product and service information.

- Transfer customer calls to appropriate staff.
- Identify, research, and resolve customer issues using the computer system.
- Follow-up on customer inquiries not immediately resolved.
- Complete call logs and reports.
- Research billing issues.
- Research misapplied payments.
- Recognize, document and alert the supervisor of trends in customer calls.
- Recommend process improvements.
