Provide prompt and courteous customer service to all guests visiting the HBKU Student Center.
Responsible for setting up work schedule through coordination with the Guest & Events Supervisor.
Assist individuals through recommending and distributing available resources such as facilities,
tenants’ services, information through posters and brochures as well as verbal information etc. Have
awareness of the daily event schedule and major locations in the building Handle all incoming/outgoing
physical mail / calls and have it distributed via the appropriate channel. Handle walk-in-reservations
for limited venues on the Event Management System (EMS). Responsible for filling the Facilities
Management (FM) online log sheet and other paperwork. Coordinate with Facility Officer to ensure
that safety and HSSE requirements are followed for major events Manage the Information Desk email
account (send and receive e-mail promptly). Send necessary maintenance requests to HBKU Student
Center FM and for logistics and Material Movement for Events via Cafm request ( Marafiq/Archibus web
central). Assist with the tracking and ordering of event furniture and event supplies Be knowledgeable
of Events Management Software (EMS) and the processes contained within. Be knowledgeable of
all HBKU Student Center emergency evacuation procedures. Conduct onsite visits with contractors,
caterers, etc. and assist in event set up, rehearsals and technical testing when required Managing
the student employees timesheet Provide the daily events schedule to security, cleaners, and other
parties/staff as appropriate.

Responsible for the orderly recording and keeping of physical and electronic documents including distributing new


documents and discharging obsolete records.
Keep records and logs of document retrieval, update, distribution and removal.
Typing of site documents and follows up of all the site needs.
Make sure that controlled copies of latest approval documents and drawing are given to the appropriate staff,


subcontractors, and suppliers as applicable.
Maintain updated records of all approved documents and drawings and their distribution clearly.
