• Provide full range of administrative support to the Project Manager, including preparation of correspondences, Project Submittals, Organization Charts, Cost Comparison Analysis, Close-Out Documents / Drawings (Handing-Over Files), etc.
• Keep track of daily work progress and ensure relevant WIRs are issued.
• Prepare periodic Progress Reports for submission to Consultant & Client.
• Update the Project Bill of Quantities as per approved works at site.
• Monitor the revision and approval status of all engineering documents including Shop Drawings, Method Statements, Inspection Requests, etc.
• Review and proofread all technical documents including Engineering Drawings, Method Statements, etc. before official submission.
• Prepare Interim Payment Applications based on works completed.
• Verify Supplier Invoices received at site office against delivery documents and LPO before forwarding to Accounts Dept.
• Maintain project filing index for both hard copies and electronic media of engineering documents and all project correspondences.
• Register and follow-up on eNOC applications until obtaining approval from all authorities.
• Coordinate with suppliers for required materials, and prepare Material Submittals as per Client specifications for their approval.
• Prepare various technical reports in coordination with respective engineers.
• Forward material orders to Procurement Department as per office/site requirements, and follow-up on all open orders with the department and/or supplier to ensure its timely delivery.
• Establish and maintain records of office assets, such as Furniture, PCs, printers, copy machines, etc.
• Answer telephone, take and relay messages. Receive, sort, and distribute mails.
• Other duties related to Accounts & HR as required.
