Back Office Administration/Sales Coordinator

• Support the branch team to achieve targets by allocating vehicles to sales order, coordinating with the workshop and logistics functions, manage the registration process and prepare vehicles for delivery in order to meet customers’ expectations.
• Monitoring status of open sales orders and reporting to the Showroom Manager.
• Documentation collection, verification and accurate filing.
• Planning of deliveries and coordinating with the relevant workshops.
• Vehicle tracking and follow up with logistics on vehicle status/delays.
• Invoicing and releasing documents for registration.
• Vehicle preparation and release for customer delivery.
• Communicate with Sales Executives regarding stock position and delivery process.
• Process notification, credit memo’s, sales returns and create credit customers.
• Receiving units from warehouses and other branches along with delivery orders and customs certificate
• Releasing units sold to the customer along with relevant documents to Sales Staff
• Prepare new vehicle repair requests to send to Head Office for approval
• Arranging drivers schedule for daily work and arranging to send customer vehicles to the workshop for services
• Preparing a monthly stock confirmation which is then sent to the Marketing Department
• Preparing a daily stock register which is attested by the security guard on a daily basis
• Notify management of any damage to units received and arrange for repair
Sales Administrator/Sales Supervisor

•Responsible for the overall supervision, monitoring and evaluation of the activities and performance of insurance coordinator, documentation coordinator, liaison officer, PDI department, and transport coordinator.

•Ensures that all reports are accurately prepared and up to date.
•Central Sales Admin for 3 Branches-Honda Cars Tarlac, La Union and Pangasinan.
•Ensures efficient records management and maintains full familiarity with pertinent documents/reports.
Vehicle Sales Coordinator

•Update the list and status of vehicle inventory.
•Responsible for vehicle allocation.
•Follow-up ETD & ETA of delivery units.
•Coordinate with tie up banks for collection of proceeds and other pending requirement.
•Follow-up LTO Registration OR/CR of client to Liaison Officers.
•Assist Sales Admin to supervise PDI (Pre-Delivery Inspection) section for job order for releasing units.
•Responsible on issuing Job Order, Purchase Order, Travel Order and Release Form.
