Adding to my duty as Executive Secretary I assist with the administration of the day-to-day efficient operations of the human resources functions and duties, and carry out responsibilities in some of the following functional areas, such as :
• Improving the tracking systems, company employee communication, employee services, and maintaining employee files and the HR filing system
• Contributing to the accomplishment of Human Resources practices and objectives
• Assist on preparing Employment Agreement (Contracts).
• Preparing promotion and salary increase letters.
• Conducting Case studies for the employees who request salary increase and giving recommendation based on the HR policy
• Reviewing employee’s complaints and giving suggestions based on the HR policy.
• Preparing Salary letters.
• Provide guidance and direct input to the development plans and performance management of direct reports to meet the AZF objectives
• Ensure generation of relevant reports, as and when required
• Review HR Polices & Procedures
• Review Salary Scales, Compensation & Benefits (Annually)
• Issue staff reference letter based on staff requests on timely fashion and according to approved policies
• Handle employees’ requests such as, education allowances, loans, reimbursements, business trips, and health insurance
• Enhances executive's effectiveness by providing information management support; representing the executive to others Duties:
• Conserves executive's time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications.
• Maintains executive's appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel.
• Screening telephone calls, enquiries and requests, and handling them when appropriate.
• Meeting and greeting visitors at all levels of seniority.
• Organizing and maintaining diaries and making appointments.
• Dealing with incoming email, faxes and post,
• Organizing and attending meetings and ensuring my manager is well-prepared for meetings;
• Deputizing for the manager, making decisions and delegating work to others in the manager's absence;
• Devising and maintaining office systems, including data management, filing, etc.;
• Arranging all business travel and accommodation and Transport for the entire team
• Assisting the other departments directors when needed
• Taking Minutes of Meeting
• arrange for the distribution of outgoing mail and facsimiles
• preparing Memos and following up

•Liaising with the operation Department to collect all the documents from the investors
•Taking care of the investors correspondence in Arabic
•Replacing the CEO assistant while on leave
•Assisting the other departments directors when needed

• Conserves executive's time by reading, researching, and routing correspondence; drafting letters and documents; collecting and analyzing information; initiating telecommunications.
• Maintains executive's appointment schedule by planning and scheduling meetings, conferences, teleconferences, and travel.
• Represents the executive by attending meetings in the executive's absence; speaking for the executive.
• Welcomes guests and customers by greeting them, in person or on the telephone; answering or directing inquiries.
• Maintains customer confidence and protects operations by keeping information confidential.
• Completes projects by assigning work to clerical staff; following up on results.
• Secures information by completing data base backups.
• Supporting the executive, on all his internal and external and administrative functions.
• Assisting with CEO to all the exhibitions related to our business
• Responsible for collecting all documents for approval by CEO and passing it out to the relevant departments.
• Maintaining the database of the profiles and maintaining a track of the same in excel.
• Any other duties assigned by the Director as and when required
• Supporting the Vice President, on all his internal and external and administrative functions.
• Meeting all the VIP visitors and organize their trip
• Assisting with the EVP to all evenements to maintain good PR
• Organizing the calendar and scheduling appointments. Taking minutes of meetings.
• Efficiently solving customer complaints / enquiries.
• Maintaining a good interpersonal and communication skills within and outside the organization also have got the ability to handle multi-task assignments and complete the given task on deadline.
• Responsible for collecting all documents for approval by EVP and passing it out to the relevant departments.
• Maintaining the database of the profiles and maintaining a track of the same in excel.
• Any other duties assigned by the Director as and when required.
