•Prepare a comprehensive Organogram with organization hierarchy, grading, job description, role clarity and authority matrix.
• Manage HR Activities such as
o Interviewing, hiring, and training employees.
o Planning manpower plan
o Set all the hiring process and conduct formal orientation programs for the new comers .
o compensation & benefits
o Appraising performance.
o Addressing complaints and resolving problems.
o Probationary period assessment & contract renewal.
o Exit interview for those who are resigning or fired, to identify the reasons .
o Keep all the personnel procedures matching with the Labor Authorities rules and regulations.
• Liaise with legal consultant to manage the recruitment process and documentation in precise requirement as per the law.
• Network and develop a suitable database of placement agencies for hiring new employees.
• Network and develop a suitable database of trainers/academies/centres for technical training and skill enhancement.
• Undertake welfare activities and information sharing to keep staff & workers positively engaged and boost morale of employees and ensure an overall conducive work environment for all employees.
• Ensure complete legal compliance for resigning employees.
• Engage closely with all departments such as sales, finance, production, quality assurance, customer service, etc. to understand & support their HR requirements.
• Ensure compliance with Local Labor Laws and Social Insurance Laws and any other statutory requirement related to manpower
• Put in place standard operating procedures to ensure that concerned managers and staff carry out their duties and obligations in full legal compliance
• Ensure all documentation, employee & company records are completed and stored appropriately
• Develop and maintain good relations with all government officers in Social Insurance and Labor Department
• Under guidance from legal consultant, prepare and implement suitable labour contracts for outsourced staff and workers.
• Ensure that the management decisions on annual increments, compensation, bonuses are accepted by all employees.
• Effectively solve labor disputes under guidance of legal consultant
• Work under guidance of legal consultant and management to manage the legal cases related to past/present manpower
• Ensure effective control over any powers of attorney given to any employee
• Develop suitable office security systems including visitor protocol, security equipment, security uniforms, ID
cards, in-time & out-time record keeping, etc.
• Ensure effective control & use of all company assets such as cars, office equipment, furniture, electronics, etc.
• Manage the effectiveness of support staff such as drivers, housekeeping staff, their expenses and reimbursements, etc.
• Ensure timely renewal of licenses, maintenance contracts, rent contracts, etc
• Control expenses related to admin
•Motivate and develop reporting staff to ensure that the function has the necessary skill base and that staff are optimally motivated and enabled to maximize their potential and contribution in providing services across the Company.
•Check the attendance, leave, and Absenteeism, to be aligned with the discipline system.
•Ensure that all the employees behavior, conduct, attitude & manners comply with the company code of ethics and culture.
