Handle personnel queries/requests escalated by HR Helpdesk or Local HR Senior Advisors
•Apply organizational policies, practices and procedures to analyze situations or data from which personnel query/request can be readily resolved
•Investigate on requests which cannot be resolved by analyzing the nature of the request / diagnosing the problem and route them to the appropriate next line support within HR Senior Advisors; prioritize issues
•Collaborate with other team members of KAUST HR, as necessary, to resolve complex personnel queries/requests
•Critically evaluate information gathered from multiple sources, reconcile conflicts and research inconsistencies in information before resolving personnel query
•Adhere to policies and procedures and service levels
Documentation
•Support HR Helpdesk regarding personnel queries and resolution according to standard operating procedures and produce reports when necessary. Zendesk Ticketing Software System.
•Identify opportunities for improvement, standardization and/or better leverage of HRIS - communicate to KAUST HR Solutions Optimization for review
Profiles Management
• Responsible of receiving newcomers’ files prior on-boarding coordinating their relocation procedure from A-Z
Background Investigation & Pre-employment Medical Checkup Administration
• Responsible for staff background check reports, internationally and locally & Liaise with international providers to maintain standardization process globally.
• Some of the Job responsibilities; Initiate work visas, approach newcomers, maintain archive system, Meet & greet, brief introduction upon arriving, invoices processor, SAP system reimbursement review & approver
• Support Regional Personnel Manager in achieving HR objectives & organization KPIs in relation to recruitment & staff retention
• Provide timely medical services support to staff to ensure health and welfare of the employee are as standard.
• Manage security personnel, to ensure that the organization assets are secured
• Coordinate with sales division supervisors to ensure timesheets & overtime hours are receive and processed to monthly payroll for facilitate timely payments of salaries and commissions.
• Support regional personnel manager in creating work force budget for the region by providing timely inputs to ensure accuracy in the forecast.
• Maintain & monitor employees’ contracts
• Maintain all employees’ relations; Holiday Travel, Visas, Banking, Severance, Allowances, Final Settlement, Payroll
• Provide professional advice and assistance to employees and managers on policies, procedures and a variety of matters relating to personnel and employee relations
• Educate other HR staff about HR Services to ensure consistent and equitable application of HR policies and procedures.
• Co-ordinate and process employee disciplinary procedures to ensure all employees in the region adhere to strict policies and procedures.
• Coordinate various Departments to ensure all villa units are vacant & ready for occupy.
• Acting Night Manager in nights shifts.
• Coordinate with security if any emergency case emerge and government interfere by police forces.
• Planning & maintaining sales revenue to all vacant villa units on daily bases.
• Working as Oder Taker and Liaise with Hot & Cold Kitchens and Captain, steward chief & waiters to maintain sustainable standard in serving room services food & beverage tables and trays to the guest rooms.
• Fulfill the room service standards as a worldwide Company for hotels & Resorts.
