Typical work activities

The work activities carried out by me, being as procurement manager depend largely on the business functions, size and location of the employing organization. The level of responsibility held by me will also influence duties. Tasks typically involve:
• forecasting likely levels of demand for services and products to meet the business needs and keeping a constant check on stock levels to maximize business efficiency;
• conducting research to ascertain the best products and suppliers in terms of best value, delivery schedules and quality;
* liaising between suppliers, manufacturers, relevant internal departments and customers;
• identifying potential suppliers, visiting existing suppliers, and building and maintaining good relationships with them;
• negotiating and agreeing contracts and monitoring their progress - checking the quality of service provided;
• processing payments and invoices;
• keeping contract files and using them as reference for the future;
• forecasting price trends and their impact on future activities;
• giving presentations about market analysis and possible growth;
• developing an organization’s purchasing strategy;
• producing reports and statistics using computer software;
• evaluating bids and making recommendations based on commercial and technical factors;
• ensuring suppliers are aware of business objectives;
• attending meetings and trade conferences;
• training and supervising the work of other members of staff

Supervisor Procurement and Logistics at Agility - Kuwait (KPPC Project)

Some of the main duties of a procurement Supervisor include preparing purchase orders, responding to customer and supplier inquiries, reviewing requisition orders to verify accuracy, specifications and terminology, and comparing prices, specifications and delivery dates to determine the best bid among potential suppliers. A procurement manager must also prepare, maintain and review purchasing files. report price lists, track the status of requisitions, contracts and orders, locate suppliers, approve bills for payment, monitor contractor performance, calculate the cost of orders, charge or forward invoices to the appropriate accounts, and monitor in-house inventory transfer forms for bookkeeping records.

Plan, review and monitor Pre- shipment and Post- shipment activities, coordination with the inspection agencies, shipping agents, customs brokerages, Govt. bodies for guarantee of payment, Insurance companies for insurance coverage, production department for providing the indent and packing list etc. Identify, recommend and implement improvement plans to logistics operation and processes including recommendations of service providers so as to ensure continuous quality, efficient and cost effective service to the company

Coordinates customs clearance (on international jobs) of all types of material and equipment with traffic and logistic representatives or nominated Freight Forwarder/Customs Clearance Agent for smooth and fast clearance, Coordinates with Transporter who assigned to pick up the Materials from Port (Air/Sea) after completion of Customs Paper work. Coordinates with the Store In Charge to have a report after received the Materials from Transport. Coordinates with the Store In charge, QC personal to produce material reports in order to release the Vendor’s Payment on time based on PO Mile Stone.
Responsible for working closely with the selected supplier and managing the company’s procurement activities. Also providing leadership for the purchasing department and motivating staff to achieve maximum performance and efficiency.
