Position:- BID SUPPORT & PROCUREMEN ENGINEER JULY 2017 - PRESENT (1 yr 7mos)
Responsibilities:-
Bidding Support
Work with outside sales to define customer commercial requirements in the Invitation to Bid.
Gather commercial scope and help facilitate the initial bid strategy.
Develop internal timelines to meet deadlines and hold strategy meetings with the appropriate dept. as needed.
Interact with the various internal dept. and vendors to gather the appropriate material, schedules, cost, pricing, and other commercial information related to the bid.
Proactively suggest alternatives and options (where possible) to reduce cost, improve value to customer and increase profitability.
Prepare comparative commercial figures from previous bids/projects to help facilitate senior management decisions.
Schedule proposal approval meetings and create information in support of decision making for such meetings.
Work with outside sales and other relevant dept. to manage contract changes during TQ/CQ and the negotiation process.
Initiate and execute process improvements and streamline workflow of proposals.
Procurement
Float RFQ's to the approved vendors OR as per recommendation by Client and PM.
Carry out Techno-Commercial evaluation of Bids / Quotations received from vendors.
Prepare and issue Commercial Bid Evaluation Report & Recommendation. Conduct commercial negotiations with one or more selected vendor when requested by the Client and PM.
Prepare and issue purchase orders as per the approved quotation summaries. Maintain a complete data base of all procurement activities in a systematic way for easy tracking.
Prepare, maintain, and issue Material Progress Reports on a regular basis, which reflect the progress of all purchased equipment & materials.
Obtain all required Supplier drawings, documents, data books and manuals at the required time and in the specified quantities as per the VDRL.
Arrange Third Party Inspection as per approved ITP and obtain Inspection Release Note (IRN) prior to informing material readiness status to Logistic Supervisor.
Manage the ‘post order’ administration of POs / Subcontracts including variations, expediting and inspection requirements, invoicing queries, completion of performance feedback for Close Out.
Ensure the correct finalization of orders in accordance with project procurement execution plan.
Have an understanding of purchasing reporting requirements, project spend analysis for summarizing the percentage of savings from project budget allocated.
Proficiency in the use of MS Office and ORACLE JD EDWARDS ENTERPRISEONE software.
Responsibilities:
Leading Sales Dept.
ERP Planning to make To-Do List for the Sales Team, to ensure timely submission of Quotations.
Responsible for ensuring accuracy of Technical and Commercial review done by the sub-ordinates team comprises of Application Engineers, Sales Officers, Executives and Assistants.
Approving GAD/ITP being submitted during bidding stage for Client’s Approval.
Responsible for achieving monthly sales target assigned by the management.
Ensuring QA/QC Procedures assigned for Sales Dept, are being followed by the Sales Team.
Statutory and Client’s Audit Facing for Sales Dept.
Responsibilities:
Representing company's reputation for the excellence of our products, solutions and ability to understand and meet the specific needs of clients; by means of discussions.
Bringing client's critical requirements back into the R&D, Design, and Production Process for development towards upgrading the existing product range.
Update clients about our Company progress, latest product developments, infrastructure enhancements etc through company presentation.
Interact with existing / new potential clients, with a view to expand our business relationships.
Follow up with clients on the submitted Quotation to achieve sales target of the fiscal year.
Monitor and assist Agents in generating business to achieve their sales target.
Generate new enquiries by visiting to existing/new clients to achieve sales target.
Responsible for Pre-Qualification and Supplier Registration with major Oil & Gas End-User’s and EPC companies.
Review of enquiries or tenders, while ensuring that all the project specific referral documents are available.
Prepare and release Technical datasheets meeting applicable International Codes & Standards and end user’s specifications.
Prepare the Deviation or Clarification list, to be sent along with the Techno‐Commercial Offer.
Revise the Quotation if requirements differing from those previously expressed are found in the technical queries from client.
Technical review of client’s Purchase Order.
Request to client for necessary amendments to be made in Purchase Order.
Responsible for clean internal handover of the client’s Purchase Order.
