- Managing attendance and leave applications of 1000+ employees on a daily basis. Maintaining relevant records and updating the leave tracker.
- Preparing payroll through Microsoft AX by ensuring that leaves, absences, changes in salary structure & designation are all updated accurately.
- Processing overtime requests from eligible employees as per the labour law.
- Liaising with the Administration department in processing Job Offers, Work Permits, Visas, Emirates ID and medical.
- Assisting the HR Manager in sourcing, recruitment and selection of new employees.
- Assisting the Training & Development department in conducting training & workshops.
- Maintaining accurate employees database in both hard & soft copies.
- Preparing letters, NOCs and any other requests from employees as required.
- Being readily available to answer to employees queries and handling grievances.
- Coordinating with the manpower suppliers and ensuring that candidates for the open vacancies are readily available. Also uploading the vacancies in job portals to attract more candidates.
- Conducting interviews and selection of suitable candidates.
- Coordinating with the Administration department for the application of labour contracts.
- Conducting new joiner induction and training.
- Maintaining attendance / overtime / leave records and preparing the payroll.
- Maintaining and updating the employees’ records daily. Ensuring visa renewals of outsourced employees are done on time to avoid legal complications.
- Preparing reports of attendance / orders delivered / cost of sales for the day and submitting it to the management, and any other reports as requested.
- Conducting weekly training to the Delivery Drivers.
- Advising the management on best practices to improve productivity and morale of employees.
- Ensuring the headcount matches the requirement from each department and recruiting new talent to fill in vacant positions with close coordination with department heads.
- Using the DMCC portal to prepare the offer letter for selected candidates.
- Proceeding with visa application procedures, ensuring relevant documents are available to apply the visa.
- Performing onboarding of the new joiners and ensuring their workstations are set up before their joining date.
- Keeping track of expiry dates of existing employees visas, health-card, etc. and making sure the renewals are done on time.
- Managing the renewals of company trade license, establishment card, insurance policies, tenancy contracts, and certifications. Making any amendments to the licenses as required.
- Monitoring attendance and managing leave applications. Maintaining a detailed leave record of each employee.
- Processing payroll every month, ensuring all data with reference to employees salaries, date of joining, benefits, etc. are updated.
- Attending to employee grievances and making sure that the workplace is employee friendly.
- Managing the company policies and ensuring it is being adhered to by all.
- Identifying the positions to be filled and creating / modifying the Job Descriptions.
- Sourcing, conducting interviews, and selection of candidates in coordination with the respective departments.
- Preparing the Offer Letter and Employment Contract.
- Conducting orientation / induction for the new employees.
- Coordinating with the PRO for Visa processing / Emirates ID / Medical Check-up.
- Opening bank accounts and health insurance for the employees.
- Ensuring the HR Database is up to date and entered into the HR ERP system.
- Maintaining attendance / overtime records and preparing the monthly payroll as per WPS.
- Managing leave applications and maintaining a detailed record of employee leaves.
- Ascertaining training needs in coordination with the different departments and implementing the same.
- Providing relevant information, NOC, letters to the employees as required.
- Supervising the labour accommodation and ensuring the rules are strictly adhered to.
- Liaising with insurance providers, recruitment agencies, travel agents, etc., as needed.
- Handling employee grievances and acting as necessary.
- Conducting final exit interview and using the information to reduce the attrition rate.
- Overlooking the calculation of End of Service Benefits.
- Understanding the nature of the job and creating the Job Description.
- Using job portals, referrals, training institutes, etc., to source candidates for our clients.
- Conducting a telephonic interview to verify the candidates skills & CV authenticity.
- Scheduling the interview and following up with both client and candidate throughout the process.
- Keeping in touch with candidates and clients post recruitment and collecting feedback.
