Accounts Payable Local & Foreign Supplier:
➢ Handling Accounts Payable - Foreign and Local.
➢ Maintenance of recurring general ledger entries (Accruals, Prepaid etc.)
➢ Preparing of Payments - Bank Transfers, Cheques & obtain signatures, follow up with the suppliers for the payments.
➢ Preparing the Monthly / Quarterly Rent payments based on the contract & booking it in the system.
➢ Verification of Petty cash.
➢ Coordinates with Accounts Payable on proper codification of transactions.
➢ Preparing Monthly Purchase reports & Payment Schedules.
➢ Responsible in the control flow in and out inventory transactions.
➢ Responsible for managing the team to ensure that work is properly allocated and completed in a timely and accurate manner.
➢ Follow up For Credit Notes with foreign suppliers against Damaged upon arrival.
Accounts Receivable Foreign Supplier:
➢ Maintain Up-to-date Debit Notes System.
➢ Generate & send out debit notes related to Salary & Principles Expenses which we have to received as per our business contract.
➢ Perform Customer Account Reconciliations.
➢ Monitor Customer Accounts Details for Non-Payments, Delayed Payments & irregularities.
➢ Yearly Trade Receivables Balance Confirmation.
➢ Preparing Monthly Ageing Reports & Receivables schedule in order to maintain smooth cashflow.
Inventory:
➢ Supervision, monitoring and control inventory stocks and other materials ensuring that quantities are completed and properly accounted for in all warehouses.
➢ Regularly and periodically submit to higher management the inventory reports, inventory data and other information required by management and other units in the company.
➢ Answer Queries from Departments and Auditors (Example: Stock balance, Inventory roll over, Trade Payable & Receivables etc.)
➢ Primary responsible in stock count reconciliation, and accumulation of stock count reconciliation of Agility, YIACO Warehouse & YIACO Apollo.
➢ Monthly Reconciliation of Inventory balances between Agility and YIACO, and investigation of the variance
➢ Monthly Reconciliation of Inventory balances between Inventory Management Module and General Ledger
➢ Preparation of Stock Level Analysis.
➢ Daily Reconciliation of SRV.
➢ Adjusting quantities due to wrong entry in Dynamics System and stock count as authorized by Departments.
➢ Dynamics System Entry.
A) Renaming item code or batch as authorized by Department.
B) Transfer from batch to batch, location to location, warehouse to warehouse as authorized by Department.
C) Transferring from item to item.
➢ Generate System Generated Delivery Notes Report.
➢ Costing Review and investigate the reason of the variance.
➢ Solve The Negative Items.
Other Responsibilities:
➢ Assist in Closing financial statements monthly.
➢ Initiation of updating policies and procedures to the finance manager.
➢ Assist internal and external auditors in ensuring that audits are completed timely by the year-end through collaborating sufficiently and providing the necessary data.
➢ Booking of all Payment Vouchers
